Our client is looking for a proactive and organised Yard and Logistics Manager to take charge of daily yard operations, fleet coordination, and driver management.

Minimum requirements:

- Valid Code 08 driver’s license.
- 2 - 3 years of working experience.

Duties and responsibilities:
- Manage and Monitor Trucks and Forklifts:
- Manage daily truck movements.
- Manage daily utilisation of forklifts.
- Report any discrepancies, damages, breakdowns, and abuse to the Logistics Clerk.
- Conduct spot checks on Cartrack and manage 360 Live.
- Manage drivers’ productivity.
- Schedule Deliveries and Co-ordinate Transport daily:
- Compile a daily truck movement report for the Operational Director.
- Manage late returns of trucks to the yard and communicate this to management.
- Manage effective loading of trucks to prevent underloading or overloading.
- Implement, manage, and update the delivery and collection procedure communicated to all sites, including site security personnel.
- Ensure all paperwork and tablets are completed and used correctly, with data captured accurately on Fusion.
- Ensure proper training for all site staff on collection and delivery procedures.
- Ensure quality photos are taken during loading and offloading to provide visual evidence of stock quality and quantity.
- Familiarise with quality standards as per site specifications for the mines to prevent material comebacks.
- Assist drivers with delivery maps and provide the most cost-effective routes, and monitor daily route compliance.
- Schedule deliveries and collections as per client or site requirements, cost-effectively and on time.
- Ensure drivers are informed of the responsible person on site designated to sign for deliveries or collections.
- Request and formulate transport quotes from transport suppliers.
- Request purchase orders for transport suppliers.
- Compare quotes and book external transport companies when required.
- Ensure no material is released without the correct paperwork or loan stock, and ensure procedures for deliveries and returns are followed.
- Manage Drivers:
- Ensure drivers do not leave without written instructions and confirm their understanding.
- Provide regular driver training on safety, security, loading of trucks and vehicles, straps, overloading, PPE usage, and route planning.
- Provide training on load capacities for each truck size.
- Ensure all drivers hold valid PDP licenses.
- Conduct periodic alcohol tests (breathalyser) on drivers.
- Follow up with the Logistics Clerk regarding fines and misuse of trucks and forklifts.
- Reports:
- Compile weekly and monthly cost reports.
- Compile yard stock-on-hand reports.
- Compile cross-hire reports.
- Compile quality control reports.
- Compile refurbishment reports.
- Compile damage reports.
- Correct reports and submit monthly reports to the Operational Director before the 5th of each month.
- Compile additional reports requested by Management.
- Manage Loading List:
- Manage the loading list by liaising with managers on supply and demand.
- Ensure the correct material is loaded as per the loading list.
- Oversee the compilation of the loading list.
- Ensure counters are trained and meet the required skill level through regular training and spot checks.
- Provide the Operational Director with a weekly loading list.
- Source Material:
- Source material from various suppliers and compare rates.
- Ensure sourced material is of good quality.
- Manage quantities of cross-hire material to prevent yard surplus exceeding 300 tons.
- Stay up to date with market-related rates and negotiate better pricing.
- Develop and implement systems to track all cross-hire components.
- Reconcile cross-hire company statements and invoices to ensure deliveries and returns are correctly booked.
- Build strong relationships with cross-hire companies.
- Visit cross-hire companies regularly and identify new ideas for improvement.
- Manage Quality Control and Yard Safety:
- Implement and manage an effective quality control system.
- Ensure proper training is provided for yard and site staff on quality control.
- Conduct regular spot checks on the quality of material on site and in the yard.
- Update the quality control system regularly.
- Conduct monthly checks on stock management and housekeeping on sites.
- Ensure daily housekeeping is carried out.
- Ensure the quality control system is implemented effectively in the yard.
- Quarantine and repair all defective material to prevent delivery to the site.
- Implement and manage an effective Health and Safety system in conjunction with the Safety Officer.
- Adhere to all Health and Safety requirements, including quality control, PPE, inductions, toolbox talks, safe work procedures, and DSTIs.
- Ensure the Quality Control Register or Report is signed off monthly by the Yard Manager and the Safety Officer.
- Refurbishment of Material:
- Order correct quantities and appropriate quality of paint and consumables to perform refurbishment cost-effectively and safely.
- Ensure all documentation relating to daily yard operations is completed and submitted daily.
- Conduct spot checks on refurbishment material and quantities reported.
- Maximise material through effective stock rotation, including quality control, refurbishment, and painting.
- Manage the refurbishment crew effectively to optimise the production versus cost ratio.
- Compile monthly cost reports for the Refurbishment Department.
- Ensure all refurbishment completed for external customers is invoiced correctly.
- Ensure all intercompany invoices are processed.
- Prepare Reports for Weekly and Monthly Meetings:
- Prepare reports accurately and on time as requested by Management.
- Compile reports for each meeting in the formats required by Management.
- Hold weekly meetings with Yard Supervisors, the Stock Controller, and all personnel involved in running and managing the yard.
- Hold monthly Health and Safety meetings with the Safety Officer and the SHE Representative.
- Hold weekly meetings with Site Managers to discuss findings regarding on-site material and stock requirements for their sites.
- Manage Yard Personnel:
- Manage all yard personnel, including daily hours worked, leave, warnings, and other HR-related functions.
- Ensure regular training is provided for yard personnel to maintain the quality of work.
- Plan, organise, and approve overtime.
- Manage yard personnel productivity effectively.
- Ensure the yard is managed cost-effectively.
- Enforce all Health and Safety procedures for yard personnel.
- Second-hand Management:
- Manage all repairs of second-hand scaffold.
- Manage stock levels and place orders accordingly.
- Procure components and materials required for repairs.
- Ensure accurate recording of all second-hand scaffolds on hand.
- General:
- Perform any other tasks necessary for the conduct of the employer’s business as directed from time to time.
- Manage and supervise risks associated with diesel tank usage.
