About the position
ENVIRONMENT:
A leading Retailer is seeking a Warehouse Administrator to provide efficient and accurate administrative support to warehouse operations by controlling documentation, processing stock transactions, maintaining system accuracy, supporting inventory control, managing operational administration, and ensuring that receiving, storage, dispatch, financial and compliance activities are properly recorded and managed in line with company procedures.
DUTIES:
Warehouse Administration
- Capture and process warehouse transactions accurately on the relevant system.
- Maintain all warehouse documentation, including goods received notes, transfer documents, picking slips, delivery notes, dispatch documents and return records.
- Ensure all records are filed correctly and are readily available for audit and operational purposes.
- Assist with general warehouse administration and reporting.
- Receiving and Dispatch Support
- Verify delivery documentation against physical stock received.
- Prepare and control dispatch documentation for customer deliveries, branch transfers and collections.
- Monitor proof of delivery documentation and follow up on outstanding PODs.
- Escalate discrepancies, shortages, damages or delays for resolution.
- Inventory and Stock Control
- Support stock counts, cycle counts and stock take processes.
- Record stock movements accurately to maintain system integrity.
- Assist with stock reconciliations and investigate variances.
- Support the administration of damaged stock, returns and claims.
- Process and maintain stock journals, ensuring all adjustments are accurately recorded and supported.
Financial and Administrative Control
- Manage and monitor overtime records, ensuring accuracy, approval, and compliance with company policies.
- Control and track operational expenses in line with budgetary requirements.
- Handle financial queries, including BTG GRV processing and resolving discrepancies with relevant departments.
- Administer petty cash, including reconciliation, reporting, and proper documentation control.
- Monitor and manage branch drawbacks, ensuring accurate reporting and timely resolution.
Operational and Asset Management
- Oversee vehicle licensing administration to ensure all company vehicles remain compliant and up to date.
- Coordinate the booking of employee medicals in line with operational and regulatory requirements.
- Manage the ordering of consumables such as toners, ensuring availability and cost control.
- Coordinate maintenance and servicing of office equipment, including their machines, ensuring minimal disruption to operations.
Human Resources Support
- Liaise with recruitment agencies regarding staffing requirements, candidate coordination, and follow-ups.
- Support HR-related administrative processes including onboarding and compliance documentation.
Coordination and Operational Support
- Liaise with warehouse staff, drivers, transporters and internal departments to ensure smooth workflow.
- Monitor outstanding transactions and assist with resolving administrative bottlenecks.
- Provide administrative support for urgent orders, back orders and customer-related warehouse queries.
- Compliance and Reporting
- Prepare daily, weekly and monthly warehouse and administrative reports as required.
- Compile and consolidate reports across operational, financial and administrative functions.
- Ensure compliance with warehouse procedures, company policies and audit requirements.
- Support and maintain health and safety standards and related documentation.
- Maintain high standards of housekeeping in relation to documentation and record control.
REQUIREMENTS:
- Grade 12 / Matric
- Relevant certificate or diploma in Administration, Logistics, Supply Chain or Warehousing will be advantageous
- 2–4 years’ experience in a warehouse administration or stock control environment
- Experience working on ERP / WMS systems
- Computer literacy, including Excel and email
- Good numerical and reconciliation ability
