About the position
The Travel Coordinator – Licensed Agent plays a critical role in coordinating and managing business and home leave travel for executives, regional staff, and global team members.
The role combines day-to-day travel logistics management with strategic support, including reviewing travel costs, identifying savings opportunities, and advising on ticketing alternatives.
The Specialist partners with travel agents and internal teams to ensure optimized booking practices and compliance with travel policies.
EDUCATION AND EXPERIENCE
- 2+ years’ experience in travel coordination or executive support within a corporate travel environment.
- Associate or bachelor’s degree in Business, Hospitality, or related field preferred.
- Experience with third-party travel vendors preferred.
- Familiarity with international travel requirements, visas, home leave, and multi-leg itineraries.
- Proficient in Microsoft Outlook, Excel, Teams, and other business communication tools.
- Strong organizational, time management, and multitasking skills.
- Excellent written and verbal communication skills; capable of engaging executive-level staff.
- Detail-oriented with high accuracy and follow-through.
DUTIES AND RESPONSIBILITIESCore Travel Coordination
- Review, process, and track incoming travel requests.
- Coordinate with travel agencies to secure options for complex domestic and international travel.
- Research and recommend destinations, accommodations, airlines, and transportation to enhance travel efficiency and reduce costs.
- Communicate with travelers to confirm itineraries, obtain approvals, and finalize bookings.
- Ensure compliance with corporate travel policies and approval processes.
- Maintain accurate records of travel requests, approvals, and confirmations.
- Provide timely updates and reminders regarding ticketing deadlines and travel documentation.
- Support logistical coordination for group travel and executive itineraries.
- Maintain travel-related invoices and reconcile monthly credit card statements.
- Communicate discrepancies, delays, or clarifications promptly to ensure financial accuracy.
- Assist with travel reporting, metrics, and spend analysis.
- Maintain discretion and confidentiality, particularly for executive travel.
Key Strategic Responsibilities
- Conduct detailed cost reviews and fare analysis for executives and staff travel.
- Advise on alternative ticketing strategies to reduce costs while meeting travel requirements.
- Coach and collaborate with in-house travel coordinators and travel agency partners on best practices.
- Manage home leave program coordination in partnership with Human Resources.
- Build and maintain vendor relationships to ensure smooth coordination at destination offices.
- Assist the Travel Manager with special projects, escalations, and process improvement initiatives.
