Our client is looking for a Proposal Preparation Specialist to join their dynamic team; this role is perfect for a detailed administrator who thrives in a deadline-driven environment and wants to be part of high-impact projects across Southern Africa.
About the Role
As Proposal Preparation Specialist, you'll play a critical role in securing new work by managing the end-to-end tender and proposal process; from tracking tenders to coordinating submissions, liaising with consortium partners, and formatting winning documents, you'll be central to our business development efforts.
Key Responsibilities include:
Tender & Proposal Administration
- Monitor public and private sector tender portals
- Circulate relevant opportunities to internal teams for feedback and conflict checks
- Maintain and update proposal libraries, tracking sheets, and electronic contracts databases
- Manage supplier database registrations and update expired supporting documents
- Track changes to procurement regulations (National Treasury updates)
Proposal Compilation & Submission
- Coordinate tender briefings/site visits
- Interpret scope and evaluation criteria
- Select appropriate credentials, project experience, and proposed teams
- Liaise with internal stakeholders and consortium partners
- Format, check and finalize tender documents
- Print, bind and ensure timely submission of all proposals
Post-Submission & Outcome Monitoring
- Update submission tracking sheets
- Monitor client websites for award notifications
- Follow up on outcomes and communicate results internally and with partners
Ad-hoc Team Supervision
- Provide guidance and oversight to junior administrative support staff as required
Must-Have Skills & Experience
- Matric (minimum qualification) plus tertiary qualification preferred
- Minimum 4 years' experience preferable in Energy | Infrastructure | Mining | Oil & Gas | Healthcare | Agriculture | Real Estate
- Tender compilation & submission experience (ESSENTIAL)
- Strong administrative background
- Proficient in MS Office (Excel, Word, PowerPoint - advanced preferred)
- Excellent attention to detail and time management
- Strong communication and formatting skills
- Able to work under pressure and meet tight deadlines
Nice-to-Have
- Familiarity with procurement in public, private, SOEs, DFIs, and donor-funded environments
