Main Purpose of the Role Key Performance Areas Minimum Requirements Qualifications: Key Competencies
To support the Supply Chain Management (SCM) function by ensuring the efficient administration of procurement processes in full compliance with applicable procurement policies, Treasury regulations, and internal procedures.
1. Purchase Order Processing
Process purchase requisitions timeously and ensure completeness of supporting documentation.
Obtain quotations from approved suppliers in line with policy.
Prepare procurement documentation according to established procedures.
Confirm accuracy of quotations against purchase orders and resolve discrepancies.
Follow up on outstanding purchase orders.
Maintain proper filing for audit purposes.
Outcome: Compliance with procedures, accurate documentation, and cost containment.
2. Procurement Process Administration
Initiate procurement processes within approved thresholds.
Coordinate Bid Committee processes for procurements above threshold.
Prepare bid documentation and facilitate evaluation meetings.
Coordinate final approvals in line with prescribed procedures.
Provide weekly updates to end users on requisition status.
Resolve procurement-related queries with relevant stakeholders.
Promote BBBEE supplier participation.
Outcome: Full compliance with procurement policies and efficient service delivery.
3. Contract Management Support
Monitor contract status and expiry dates.
Update and maintain the contract register monthly.
Maintain complete and accessible contract files.
Outcome: Accurate and up-to-date contract records.
4. Supplier Database Management
Capture and verify supplier information accurately.
Ensure submission of valid supplier documentation.
Maintain an updated and compliant supplier database.
Compile monthly supplier reports for review.
Outcome: Accurate and compliant supplier database aligned with procurement policy.
5. Inventory Management Support
Monitor stock levels and identify replenishment needs.
Receive and record stock according to procedures.
Maintain accurate inventory records and journals.
Conduct scheduled stock counts.
Report slow-moving stock and irregularities.
Outcome: Controlled costs and efficient inventory management.
6. Records Management
Ensure completeness of procurement audit files (RFQs, bids, contracts).
Maintain compliance with records management standards.
Outcome: 100% compliance with procurement documentation standards.
Grade 12
Diploma in Supply Chain Management
Experience:
1-3 years' procurement experience
Experience in tender administration
Knowledge of procurement policies and Treasury regulations
Attention to detail
Administrative and organisational skills
Ability to work under pressure
Strong communication skills
Good stakeholder coordination skills
