About the position

Introduction

Ensure all internal transactions are processed within 24 hours of receiving stock and that the SOH on the system is accurate against actual stock on floor. If variance between the two, follow up where error occurred, reasons and corrections are made and where necessary, better procedure or protocol followed to keep accurate track on stock.

Duties & Responsibilities

STOCK CONTROL

  • Manage monthly stock take process
  • Manage weekly cycle counts
  • Do daily spot check counts
  • Daily checks on high volume and value items' stock levels.
  • Detailed stock take variance reporting. Identification as well as corrective action
  • Publish variance reports no later than 2 working days after a stock take and according to SOP
  • Continuous analysis of BOM vs Floor Recipe and adjust BOM accordingly after following up with QC and/or Inventory Manager.
  • Keep accurate filing on above that meet audit requirements
  • Continuously review stock control processes and implement improvements as part of The Manufacturing Way social systems and forums
  • Review and reconcile Off-site stock locations monthly
  • Manage dispatch and inventory clerks to ensure accurate control over stock is kept and submitted.

PRODUCTION CAPTURING
  • Ensure production sheets are completed accurately, dispatch checked and signed off and investigate loss variance before capturing
  • Capture production sheet on system via "adjustments"
  • Create weekly Work Orders and use to track lines using BOM procedure
  • Close used work orders on weekly basis
  • Update block test spreadsheet on monthly basis to submit to finance - investigate any average variance that might indicate over/under cutting/theft etc.
  • Keep accurate filing system of production sheets that meet audit requirements

PRODUCTION REGISTER
  • Keep accurate register of production planning on daily basis and ensure all submitted planning has been completed and captured on the system.
  • Print out requested production sheets for production team on request

SALES
  • Assist on COD sales with Administrator
  • Handle all staff sales - ensure taken stock balances to final invoicing and ensure outstanding payments are collected by month end
  • Recon staff & COD account & submit remittance of payments received to allocate to correct account on monthly basis.

ORDERS
  • Place orders on thermal labels and dot labels for production
  • Ensure stock levels sufficient as not to compromise flow of production

CONTRACT PRICING
  • Raise contract pricing on system as per instruction received
  • Ensure pricing is accurate on system once approved
  • Keep accurate record of all contract pricing instructions and changes that meet audit requirements

BLIND RECEIVING
  • Sign off on blind receiving from Warehouse
  • Ensure figures submitted are accurate
  • Ensure weight aligns with quantity in terms of bone meat received
  • Follow up if variances are detected

ADJUSTMENT REQUESTS
  • Capture adjustment requests for samples, donations, conversions, disposals
  • Ensure request is valid and accurate

INVOICE CONTROLL
  • On weekly basis - check invoicing matches accurately with what has been dispatched and received.
  • Follow up if corrections have been done and balance with stock on floor

OTHER
  • Report to finance and assist in any request
  • Stand in for Administrator WRT:
  • Stock PO's
  • Nonstock PO's
  • GRV on stock and non-stock items
  • Invoicing
  • Credits
  • AP requests
  • Customer requests
  • Supplier requests
  • Phone attendance

Desired Experience & Qualification
  • Minimum BCom or diploma with Accounting
  • At least 3 years' experience in a Manufacturing environment of which 2 years in a similar role
  • Must be very familiar with following software, SAGE X3, Excel
  • Attention to detail
  • Numerical acumen
  • Ability to apply logic to analysing and reconciling of variances
  • A hands-on approach to problem solving
  • Ability to work under pressure and meet tight deadlines
  • Team player and excellent communication skills
  • Innovative and Assertive with decision making
  • Disciplined, pro-active and flexible
  • Ability to work extended hours as and when required
