About the position

Main objective of this role:

to manage the day-to-day operations of your site, which includes planning, supervising, and coordinating efforts across key functional areas to ensure that the organisation runs smoothly. This position also ensures that operational policies, processes and systems are continuously improved upon (or developed where needed) so that the organisation is geared to deliver on its mandate in a cost-effective and efficient manner as well as support the organisation's marketing and communication efforts to increase its visibility and strengthen its brand amongst members, clients and stakeholders.

Filfillment Management :

  • Manage client requirements by ensuring that we fulfil operations roles daily and conduct contingency plans to mitigate any risk.
  • Ensure that fulfillment reports are submitted timeously
  • Develop and implement plans to successfully deliver exceptional results on recruitment campaigns and ensure client staffing requirements are met in accordance with the SLA.
  • Assist in forecasting resource requirements and ensure that recruitment campaigns are carried out in a timely manner to ensure that sufficient resources are in place to achieve agreed SLA and quality targets.
  • Ensure optimal service delivery through scheduling and continuous process improvement.
  • Analyse data to determine operational trends and provide solutions to increase, service and quality levels in order to achieve and exceed targets and KPAs
  • Manage Site transport including cost by ensuring transport is booked timeously and cost is recovered.

Payroll Management :

  • Manage and Coordinate the operational payroll function for the regional and ensure that the process is followed in alignment with the SOP.
  • Ensure time sheet for the Site are submitted on time to the payroll department.
  • Manage all leave accounts for the Site and ensure that the team follows the SOP's.
  • Plan leave accordingly with the team and ensure that leave is managed.
  • Manage the termination process to ensure that terminations are carried out by the operations team.
  • Handle all payqueries that has escalated and ensure that it is resolved.

IR Management :

  • Manage the full operational IR process by ensuring Operational teams follows the processes outlined in the Standard Operating Procedure.
  • Represent the company at the CCMA when required.
  • Ensure that the team uploads all IR matters on the trackers.
  • Ensure that the site teams executes day-to-day disciplinary action

Recruitment , Onboarding & Compliance :

  • Manager operational compliance by ensuring all staff documents is up to date for the Site.
  • Manage the recruitment process for the regions by ensuring all heads are placed within the deadlines
  • Manage the Ess registrations and onboarding by ensuring that the site staff actively registers and onboards new starters.
  • Ensure that site staff successfully onboards new starters on payspace.
  • Ensure that the Site complies with the health and safety act.
  • Manage all Injuries on duties by ensure that the Standard operating procedures is followed by the operations team.
  • Complete WCA forms and submit it for staff that are injured on duty.
  • Arrange test for all MHE drivers and ensure that AOD's are sent to the payroll department.
  • Manage and mentor staff within the Operations Team as well as human resource related matters as necessary.
  • Continuously monitor the organisation's human resource needs and direct resources, as agreed with the Regional Operations Business Manager, to areas where required.

Client Relations :

  • Full accountability and management of internal and external scorecards.
  • Participate in weekly and monthly client score card meetings.
  • Ensure that the Score cards are prepared and submitted to the client weekly/monthly.

Project Management

  • Manage and coordinate projects and ensure on time project management delivery.
  • Highlight any risk pertaining to the project and implement a plan of action.
  • Ensure that projects are on par in terms of its delivery date.

Planning & Reporting :

  • Continually review internal systems, procedures and processes to ensure resource and operational efficiency, and make appropriate recommendations for any required changes.
