About the position

Our client, a leading mining company is looking to appoint a SHE Administrator to join their team based in Kathu, Northern Cape for a 30-month contract.
The main purpose of the role is to provide administrative support to the SHE team in compliance with management systems and legislative requirements.

REQUIREMENTS:

  • Grade 12
  • SHE-related certificates such as SAMTRAC, COMSOC 1 and 2, ISO [Phone Number Removed]; awareness or auditor training on NQF4
  • Valid Driver's Licence and own vehicle.
  • 3 years of relevant administration and SHE experience, preferably in a mining or construction environment.
  • Previous experience working as an SHE Administrator or in a similar role.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook) proficiently.
  • Demonstrate competency in ISOMETRIX and Passport 360.
  • Knowledge of the construction industry's current best practices.
  • Knowledge of construction industry role players.
  • Relevant legislation.

Duties & Responsibilities:

Performance and Delivery
Administrative Support:

  • Provide effective and efficient administrative support to the SHE function on the Project to ensure the achievement of functional objectives.
  • Attend to queries and provide timely feedback to ensure efficient problem resolution and customer satisfaction.
  • Support administration of data filing and provide data management capacity to the Project Support function, with a particular focus on SHE-related data,
  • Keep meeting minutes and publish minutes within 48 hours of the meeting.
  • Maintain the team leave roster and records of absence from the site.
  • Print all new work instructions and circulate them to the owner's team with a declaration of understanding.
  • File declarations of understanding on the agreed platform, such as ShareDrive or Teams.
  • Update the declaration of understanding register monthly.
  • Assist with SHE-related campaigns and roll-outs as required.
  • Execute all other administrative functions for the SHE team, including but not limited to arranging meetings, taking and keeping minutes of meetings, making travel, accommodation, and related bookings, ordering PPE, etc.

Document Control and Record Keeping:

  • Continuously record, maintain, and administer all documentation related to the SHE management systems to ensure appropriate availability and tracking.
  • Maintain filing register and system for SHE-related documents on the official platform such as Teams.
  • Maintain the High-Risk Work Register.

Legal appointments:

  • Generate legal appointment letters on request.
  • File legal appointees' training and competence records on official platforms such Teams.
  • Track sign-off of legal appointments.
  • Track that all required appointments and delegations are sent to the DMR within the specified times.
  • Maintain the delegation of authority and legal appointment registers.
  • Maintain the Project legal organogram accurately to reflect the legal appointments recorded on the legal appointments register, which is reviewed and signed off monthly by the SHE Systems Specialist and the Section Manager SHE.

Statistics and reporting:

  • Compile weekly statistical reports.
  • Ensure all leadership audits are correctly captured on the official platform(s) such as ISOMETRIX.
  • Capture SHE Metrics on the official platform, such as ISOMETRIX, at the end of every month.
  • Publish a daily or weekly SHE Bulletin in the prescribed format as instructed occasionally.

HPH and Incident Management:

  • Capture all incidents and HPHs to the HPH and Incident registers.
  • Capture all incidents and HPHs onto the official platform, such as ISOMETRIX, and submit them to the appropriate validator.
  • Send approved Level 1 and Level 2 alerts to HQ within the set timelines.
