Our client is seeking an organised and detail-oriented Workshop Controller to provide administrative, operational, and customer support within their Forklift Workshop. The successful candidate will be responsible for coordinating workshop administration, quotations, job cards, parts procurement, invoicing, technician scheduling, and ensuring the smooth day-to-day operation of the workshop.
Key Responsibilities
- Prepare and submit quotations for services, breakdowns, repairs, warranty work, additional parts, and external jobs.
- Open and manage workshop job cards for services, breakdowns, warranty work, repairs, PDI's, internal jobs, and additional work.
- Coordinate technician schedules and book weekly services and repair work.
- Create purchase orders for workshop consumables, parts, repairs, tyres, and external services.
- Follow up with suppliers regarding parts availability and expected delivery dates.
- Liaise with customers to obtain purchase orders and proof of payment before commencing work.
- Coordinate with the parts department to ensure timely allocation and collection of parts.
- Process warranty claims and maintain accurate warranty records on Sage.
- Capture technicians' daily timesheets, overtime, and standby claims.
- Invoice completed jobs accurately and close completed work orders once signed off.
- Maintain workshop filing systems and administrative documentation.
- Update work-in-progress reports and Power BI tracking for open jobs, purchase orders, and service requests.
- Compile monthly stocktake reports and maintain accurate workshop inventory records.
- Source parts for non-Kemach equipment where required.
Minimum Requirements
- Grade 12 (Matric).
- Office Administration qualification will be advantageous.
- Minimum 2 years' experience in a workshop administration or workshop support role.
- Previous experience within the forklift, materials handling, heavy equipment, or related technical industry is highly advantageous.
- Proficient in Microsoft Office (Excel, Word, Outlook).
- Experience working with Sage is essential.
- Strong administrative, organisational, and multitasking skills.
