About the position

The Retail Portfolio Manager provides input into the development of the Asset Management strategy and ensures effective implementation and execution thereof. The incumbent proactively manages risk to drive overall efficiencies, business compliance and ongoing process innovation to maximise net income. This role anticipates the impact of business strategy on other divisions within the Company and ensures consistency in the delivery on required business outputs for the relevant function. The incumbent provides guidance for the relevant mechanisms to receive feedback, highlights operational inefficiencies and guides continuous improvement. In addition to this, this role is focused on the analysis of data into meaningful reports to enable decision making and maximised net income.


Business Management


Manages a department of complex, concurrent workflows and delivers best practice solutions to optimise net income, operational efficiencies and reduced risk.


  • Reviews and audits operational processes and recommends improvements.
  • Collects data, analyses trends and implements mitigating actions to reduce risk.
  • Reviews the annual building budget and midyear building budget in accordance with company strategy and guidelines for sign off by the Retail Asset Manager.
  • Analyses the Asset Maintenance and Operational Management teams in line with shared services for teams.
  • Focus to optimise utility recoveries and identifying turnover rental to be paid by tenants in the portfolio.
  • Assist General Managers and Lease Administrators with review of lease amendments requests.
  • Ensures all action items minutes from management meetings and other key meetings are actioned timeously by the asset management department.
Implements strategies for the development of new business.


  • Drives and enables net income through the management on the delivery of departmental key performance indicators through a team of property managers and administrators:
  • Minimise vacancies (tracking of leasing activities)
  • Monitor portfolio arrears
  • Monitor portfolio expenses
  • Identify opportunities to maximize non-GLA income
  • Monthly reporting on Net Operating Income (NOI)
Strategic Relationship Management


Builds and maintains strategic business relationships.


  • Builds and maintains relationships within the Property industry and other business stakeholders to implement industry best practices and to grow and develop a strong business network.
  • Focus on relationships with Brokers and tenants.
  • Assist with annual Retailer roadshow.
Risk Management


Identifies and manages business risk.


  • Ensures compliance with relevant Acts.
  • Controls, manages and governs the processes and systems within area of accountability to ensure compliance and minimise the business risk, i.e. OHS.
  • Implements all audit recommendations in area of accountability and resolve audit findings timeously.
Reporting


Consolidated reports to the Asset Manager.


  • Attend project meetings (if applicable).
  • Attend monthly management meetings with the Retail Asset Manager (online or in person).
  • Collation of Info Centres required for EXCO reports.
  • Monthly turnover / foot count stats verification with MDP or other systems.
  • Prepares portfolio summary of key portfolio operating metrics (KPIs).
  • Assist the retail leasing manager with verifying drivers using Bank or other data tools.
  • Provide quarterly feedback and insights on industry reports, i.e. Clur report for retail teams.

Requirements
  • 5-7 years of Property Management experience within a similar role
  • Tertiary education preferred
