Position Overview
- A picturesque lodge situated in the Western Cape seeks a professional, organised, and customer-focused Reservationist/Admin Coordinator to join the team. The successful candidate will be responsible for managing reservations, guest communication, administrative coordination, and supporting the smooth day-to-day operation of the lodge.
- This role requires an individual who is detail-oriented, capable of multitasking in a fast-paced hospitality environment, and committed to delivering exceptional guest service. Due to the location of staff accommodation outside the lodge premises, applicants must possess reliable personal transportation and a valid driver’s license.
Key Responsibilities
Reservations & Guest Liaison
- Manage all lodge reservations, bookings, amendments, and cancellations.
- Respond professionally and timeously to guest enquiries via email and telephone.
- Coordinate guest check-ins and check-outs.
- Prepare reservation confirmations, invoices, and guest correspondence.
- Maintain accurate booking records and occupancy schedules.
- Liaise with travel agents, tour operators, and online booking platforms.
- Ensure all guest requests and special arrangements are communicated to relevant departments.
Administrative Coordination
- Perform daily administrative and office coordination duties.
- Maintain filing systems, reports, and operational documentation.
- Assist with stock control records, supplier coordination, and purchase requests.
- Support management with reporting, scheduling, and operational planning.
- Process payments, reconciliations, and general administrative tasks where required.
- Ensure compliance with lodge procedures and hospitality standards.
Guest Service & Hospitality Support
- Deliver a welcoming and professional guest experience.
- Address guest queries and complaints efficiently and professionally.
- Assist in ensuring smooth communication between housekeeping, maintenance, kitchen, and management teams.
- Promote lodge services and local tourism experiences where applicable.
Minimum Requirements
- Grade 12 / Matric qualification.
- Previous experience in hospitality reservations, front office, administration, or lodge coordination.
- Strong computer literacy, including Microsoft Office and reservation systems.
- Excellent verbal and written communication skills.
- Strong organisational and time management abilities.
- Ability to work flexible hours, including weekends and public holidays when required.
- Valid driver’s license and own reliable transport are essential.
