Role Overview
The Rental Administrator will support the rental team with the administrative and financial processes involved in managing residential rental properties. The position requires a highly organised individual with strong attention to detail who is comfortable working with financial information, legal documentation and compliance requirements within a fast-paced rental environment.
Key Responsibilities:
• Rental Administration
• Prepare and issue lease agreements
• Prepare lease renewal agreements
• Draft and process lease addendums
• Maintain accurate tenant and landlord records
• Provide administrative support to rental agents
• Applications & Tenant Processing
• Process rental applications
• Track and manage pending applications
• Ensure all supporting documentation is received
• Liaise with applicants and agents regarding application progress
• Financial Administration
• Capture rental transactions on the property management system
• Reconcile tenant accounts and rental payments
• Assist with resolving payment discrepancies
• Maintain accurate financial records
• Compliance & Documentation
• Attend to FICA compliance and verification
• Ensure all required documentation is obtained and filed
• Maintain proper audit trails and documentation records
• Systems Administration
• Work within the PayProp property management system (or a similar platform)
• Capture and maintain accurate tenant and lease information
• Use Excel and Microsoft Office for administrative and financial tracking
Minimum Requirements:
• Previous experience in property administration, rentals, or property management
• Strong administrative and organisational skills
• Good numerical ability and reconciliation skills
• Experience with PayProp or similar property management software will be advantageous
• Proficient in Microsoft Excel and Microsoft Office
• Strong attention to detail
• Good communication skills
