About the position
Red Ember Recruitment is seeking to hire an order administrator based in Maitland.
- Manage Collections.
- Manage Courier collects.
- General admin tasks outlined below.
- Offer professional and exceptional customer service at all times.
- Make sure customer collections are quick and efficient 5-10 min (as per SOP)
- Report delays immediately to management.
- Assist all Collections (As per SOP).
- Handle all payments for collections.
- Cash (Log payment entry on collection form and ensure Senior management has received and signed for cash received)
- Card (Log payment entry on collection form)
- EFT - follow up if all orders awaiting collection have paid.
- Notify Order team of payment received for EFT & COD customers.
- Scanning of POD’s & Saving onto Revo.
- Scanning of SO’s & Saving onto Revo.
- Scanning of Delivery Route Forms & Saving onto Google Drive.
- Monitoring office supplies, namely:
- Toilet paper.
- Milk / Tea / Coffee.
- Printing paper.
- Cleaning material.
- Check all POD’s are received against Logistics doc and marked off on REVO.
- Archiving documents (SO’s / POD’s / Finance filing)
- Prioritize VIP customers.
- Ensure the correct orders are being given to the correct courier companies i.e. ITT / Kargo / Quick load / LMC etc.
- Follow up on all collections within 2 days of courier collecting to ensure that customer is happy and received their order in full with no damages.
- Mark off Courier Collected orders once the customer confirms the above.
- Ad hoc duties / assignments / projects that are needed according to the business needs.
- Ensuring work hours are met 7:00am – 5:00pm. or as per any company updates.
- Dress attire to be kept professional.
- Polite and friendly always.
- Accuracy and attention to detail is key at all times.
- Excellent work ethic to be maintained always.

- Ability to work in a fast-paced and highly pressurized environment.
- Ability to work in a metric-driven environment.
- Taking initiative and following through is key in this environment.
- Must be able to work in a team i.e. team player.
- Excellent verbal and written skill sets.
- Telephonic etiquette.
- Computer literate – need to adapt to new and existing internal CRM tools.
- Hard-working, organized, and excellent work ethic.
