About the position
We are seeking a friendly, highly organised, and proactive Receptionist to be the first point of contact at our vibrant music academy based in Sunningdale, Table View. This role combines front-of-house responsibilities with administrative and accounting support, making it ideal for someone who enjoys interacting with people and has an eye for detail. The ideal candidate is professional, presentable, willing to learn, and thrives in a dynamic, fast- paced environment.
Training will be provided.
Minimum Requirements:
- Matric Certificate or equivalent
- At least 3-year experience in an administrative, reception, or customer service
- Basic accounting background or bookkeeping experience - advantageous
- Excellent written and verbal communication in English
- Willingness to learn and grow within the organization
Technical Skills:
- SAGE (Pastel): Basic knowledge preferred; will be trained to load customers, capture transactions, and support stock updates
- Microsoft Office Suite: Excel, Outlook, and Word
- Google Workspace: Confident with Google Sheets, Drive, and Docs
Skills and Attributes:
- Friendly, approachable, and professional in appearance and communication
- Excellent time management and organisational skills
- Willing to learn new systems and processes quickly
- Ability to multitask and remain calm under pressure
- Strong attention to detail and accuracy in record-keeping.

Key Responsibilities:
Reception and Customer Service
- Greet students, parents, and visitors warmly and professionally
- Handle all queries regarding part-time music lessons from parents and students, in-person, via phone, and email
- Screen and direct incoming calls and emails to the appropriate departments
- Provide excellent customer service, ensuring all enquiries are responded to efficiently
Part-Time Lesson Coordination and Scheduling
- Maintain the live roster (Google sheets) for part-time teachers, ensuring all schedules are accurate and up to date
- Book and record all catch-up lessons and introductory lessons
- Manage cancellations and ensure the correct parties are informed and records are updated accordingly
- Reschedule part-time lessons due to student or teacher absences, keeping communication clear and documented.
Administrative Support
- Assist the Head of Music with administrative duties as required
- Help with the planning and coordination of academy events (e.g., concerts, workshops, open days)
Accounts Support (Under Guidance of Accounts Department)
- Assist with data capturing, creditor filing, and basic bookkeeping tasks
- Send out quotations and invoices for part-time lessons
- Load new customers on SAGE
- Assist with collections, follow-ups on outstanding payments, and general debtor queries
- Capture stock journals and adjust stock items as needed
