About the position
A well-established company within the construction support sector is seeking a highly organised and professional Receptionist / Administrator to join their team in Centurion. Reporting directly to the Business Relation Manager, this role offers an exciting opportunity for an administrative professional who thrives in a dynamic and fast-paced environment.
The successful candidate will be responsible for managing front office operations, providing executive and administrative support, coordinating tender administration, preparing credit packs, and assisting with internal communications and office coordination. This role requires a detail-oriented individual with strong organisational skills, professionalism, and the ability to manage confidential information with discretion.
Responsibilities:
Reception & Front Office Duties:
- Welcome and assist visitors, clients, and stakeholders in a professional manner.
- Answer, screen, and direct incoming calls and emails efficiently.
- Maintain a clean, organised, and professional reception area.
- Handle incoming and outgoing correspondence as well as courier services.
Administrative Duties:
- Provide daily office administration and clerical support.
- Maintain filing systems, company records, and documentation.
- Prepare reports, presentations, and meeting minutes.
- Coordinate office supplies and general office requirements.
- Organise meetings, events, and internal staff communication.
- Draft, edit, and distribute company newsletters.
- Assist with the management of company social media accounts.
Personal Assistant Duties:
- Provide full executive and secretarial support to the Construction Support Manager and Finance Director.
- Manage calendars, appointments, meetings, and travel arrangements.
- Prepare meeting packs and supporting documentation.
- Handle confidential information with professionalism and discretion.
- Follow up on tasks, deadlines, and important communications on behalf of management.
- Coordinate departmental communication and provide administrative support.
- Prepare and compile credit packs and related documentation.
- Liaise with clients and stakeholders regarding financial documentation when required.
Tender Administration Duties:
- Assist with the preparation and submission of tender documents.
- Compile and organise all supporting tender documentation.
- Monitor tender deadlines, requirements, and submission schedules.
- Maintain tender registers and filing systems.
- Coordinate communication relating to tender applications and updates.
- Ensure all tender submissions are completed accurately and submitted on time.
Requirements:
- Diploma or Certificate in Administration, Office Management, Finance, or a related field.
- Previous experience as a Receptionist, Administrator, Personal Assistant, or Tender Administrator.
- Experience supporting senior management or executives will be advantageous.
- Experience in financial administration, credit processing, or tender administration will be beneficial.
