Job Title: Receptionist / Administrative Assistant (with Travel Booking Experience)
Position Overview
The Receptionist / Administrative Assistant is responsible for managing front-of-house operations while providing comprehensive administrative support to the team. This role requires excellent communication skills, strong organisational abilities, and hands-on experience with booking travel and managing itineraries. The ideal candidate is professional, proactive, and able to multitask in a fast-paced environment.
Key Responsibilities
Front Desk & Customer Service
Greet visitors professionally and ensure they are attended to promptly
Manage incoming calls, emails, and general enquiries
Maintain a clean, welcoming reception area
Coordinate meeting room bookings and ensure rooms are prepared
Administrative Duties
Perform general office administration including filing, scanning, data entry, and document management
Assist with preparation of reports, correspondence, and presentations
Manage office supplies and coordinate orders with vendors
Handle incoming and outgoing mail and courier shipments
Support internal teams with day-to-day administrative tasks
Travel Coordination
Arrange domestic and international travel including flights, accommodation, transport, and visas when required
Prepare and distribute travel itineraries
Ensure compliance with company travel policies
Assist with expense claims and reconciliation of travel-related costs
Scheduling & Coordination
Support calendar management for managers or team members as needed
Assist with organising company events, meetings, and staff functions
Coordinate logistics for visitors or external partners
Skills & Qualifications
Essential
Previous experience in a receptionist or administrative support role
Proven experience managing travel bookings (flights, hotels, transport)
Strong communication skills, both written and verbal
Excellent organisational and multitasking abilities
Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint)
High level of professionalism, confidentiality, and customer service
Desirable
Experience with travel management tools or booking platforms
Experience supporting multiple stakeholders in a corporate environment
Basic knowledge of expense management systems
