Job Title: Receiving Administrator
Job Summary
To ensure the accurate and efficient administration of all incoming stock by verifying deliveries, capturing receiving information on company systems, maintaining accurate inventory records, and supporting stock control processes. The Receiving Administrator plays a key role in ensuring inventory accuracy, timely processing of goods received, and compliance with company procedures.
Minimum Requirements
Grade 12 / Matric Certificate.
A relevant qualification in Logistics, Supply Chain Management, Business Administration, Inventory Management, or a related field will be advantageous.
Minimum of 2-3 years' experience in a receiving, warehouse administration, stock control, or inventory administration environment.
Experience working with receiving documentation and inventory systems.
Key Competencies
Computer literate with proficiency in Microsoft Office (particularly Excel).
Experience using ERP, warehouse management, or inventory systems is essential.
Physical Requirements
Physically fit and able to lift, move, and handle stock safely.
Able to stand, walk, bend, and perform manual tasks for extended periods.
Comfortable working in a warehouse environment.
Key Responsibilities and Deliverables
Receiving Administration
Process and capture all incoming stock accurately on the company's inventory or ERP system.
Verify deliveries against purchase orders, supplier invoices, and delivery notes.
Ensure all received goods are accurately recorded and documented.
Investigate and report any delivery discrepancies, shortages, damages, or incorrect items received.
Liaise with suppliers and internal departments regarding receiving queries when required.
Stock Control
Maintain accurate stock records and inventory documentation.
Assist with stock reconciliations and regular stock counts.
Monitor inventory movements and report discrepancies to management.
Ensure stock is correctly labelled and allocated to the appropriate storage locations.
Support inventory accuracy through effective administrative controls.
Administration
Maintain organised filing systems for all receiving documentation.
Prepare and distribute receiving reports as required.
Capture and update relevant information on company systems accurately and timeously.
Ensure all documentation complies with company policies and audit requirements.
Assist with general warehouse administration duties.
Operational Support
Work closely with warehouse staff to ensure efficient receiving and stock handling processes.
Communicate effectively with procurement, finance, logistics, and other internal departments.
Assist with continuous improvement initiatives relating to receiving and inventory processes.
Provide administrative support for warehouse operations as required.
Compliance and Housekeeping
Adhere to company policies, procedures, and health and safety requirements.
Maintain confidentiality of company information and inventory records.
Ensure the receiving office and documentation are maintained in an organised and professional manner.
