About the position
Main Purpose
The Proposals Administrator plays a key role in supporting the internal sales and external sales teams by preparing high-quality proposals and bids for potential clients. This role also includes sales analysis responsibilities, using data to provide insights that support strategy, pricing, and forecasting decisions.
Duties and Responsibilities:
Administration
- Attend to incoming telephone calls; screen & divert to correct department
- Update CRM, quote register, SAP and ISO
- Assist with ISO administration
- Maintain and update customer portals
Quotations
- Compile simplistic quotations based on quotations templates
- Update Box set price schedules
- Complete/ compile technical documents for quote submissions
- Complete & compile commercial documents and company information for quotations
- Follow up on quotations based on quotation type and expiry time
Marketing
- Update and improve Data sheets for sales functions
- Assist with marketing catalogue updates and developments
- Assist with product photo capturing for sales purposes
- Attend trade shows or exhibits and represent the company
- Report on our marketing lead generation platform and assign to leads to external sales
Projects
- Manage commercial aspects of new projects/tenders
- Support projects & product departments with technical/operations requirements
- Credit Limits - Credit vetting of customers, follow up with customers & head office
- Assist with submission of Performance bonds & guarantees
- File all records as per ISO in the correct folders
- Create files on the V Drive for Sales related information
- File all relevant correspondence relating to the job
Reporting
- Compile KPI consolidated report information
- Compile data for sales reports, Monthly and Annually
- Compile Management reports
- Extract reports from SAP
- Report on market trends, competitor analysis and research pricing trends
- Year end forecasting of sales budgets
Syspro/SAP
- Capture customers' orders on Syspro/SAP
- Add customer Account detail in SAP
- Load and respond to claims
- Monitor the SAP system as sales supports
Qualifications and Experience
- Grade 12 or NQF aligned qualification.
- Generator set experience
- A recognised tertiary qualification
- Experience in tender offer preparation
- Computer literate - Strong MS Office, Excel, Word and PowerPoint
- Syspro and SAP experience
Special Requirements
- A legal driving licence.
- Must be able to read, write, speak and understand the English language.
- Must be able to communicate clearly and concisely, orally and in writing, including formal communication and making presentations.
- Must possess the ability to make independent decisions when circumstances warrant.
- A sense of urgency with a strong customer service orientation.
- Hard working, resourceful, ambitious with excellent business acumen.
- The successful candidate must be presentable
Working Conditions
- Predominantly office based, with the opportunity to attend trade shows or marketing events
- Position may require out of town travel with overnight stays
- Is subject to work beyond normal working hours, evenings, weekends and holidays should the need arise.
- Required to attend and participate in continuing educational programs designed to keep you abreast of changes in your profession.
General
- The prescribed Company Procedures must be complied with at all times.
- All staff are required to service customers promptly and courteously.
