About the position

We are seeking an experienced Property Administrator to lead and manage billing and collections operations. This role is pivotal in fostering effective collaboration with customers, facility managers, and property operations teams. The successful candidate will also manage their own portfolio of buildings, overseeing the full administrative function from lease onboarding to accounts payable and cash book reconciliation.

This is a highly visible role requiring a strong leader with excellent planning, prioritization, and team supervision skills.

Key Responsibilities:

Billing & Collections Oversight

  • Supervise and streamline billing processes.
  • Ensure timely month-end closing of billing functions.
  • Implement and maintain quality assurance protocols.
  • Address and resolve billing escalations.
  • Upload tenant charges into MDA and reconcile with the accounting system.
  • Ensure accurate and timely invoice delivery and third-party system uploads.
  • Adhere to established policies, procedures, and guidelines.
Team Leadership

  • Lead, train, and support the clerical team.
  • Participate in AR-related special projects.
  • Provide weekly/monthly collection status reports to management.
  • Monitor and report on aging, ledger reconciliations, and delinquency notifications.
Customer Relations

  • Deliver excellent customer service to internal and external stakeholders.
  • Resolve customer disputes related to outstanding balances.
  • Maintain strong client management and tenant relations.
Portfolio Administration

  • Manage leasing administration, billing, receipts, and refunds.
  • Handle tenant collections and relations.
  • Oversee accounts payable/receivable and perform cash book reconciliations.
Requirements

  • Grade 12 (Matric)
  • Diploma in Property Management (advantageous)
  • 2–3 years in a similar role
  • Experience in the property industry and utilities (essential)
  • Junior-level management experience
  • Intermediate Excel proficiency
  • Customer service experience
  • SAGE/MDA experience (advantageous)
