This opportunity is suited to a highly organised Project Management Administrator who enjoys creating structure, coordinating activities, managing project information, and helping teams stay focused on successful delivery. Working closely with project managers and delivery teams, you'll provide financial, operational, and administrative support across multiple projects while contributing to governance, reporting, stakeholder coordination, and day-to-day project operations.
Key areas of responsibility include:
- Supporting project budgeting activities, cost tracking, projections, and financial reporting
- Managing purchase orders, invoices, vendor payments, and budget-related queries
- Coordinating project resource time capturing and month-end administrative activities
- Maintaining project information across project management and collaboration platforms
- Tracking and updating project risks, issues, dependencies, and actions
- Preparing project reports, dashboards, meeting packs, and status updates
- Scheduling meetings and managing project calendars and communications
- Taking and distributing meeting minutes and ensuring follow-up actions are tracked
- Assisting with project planning updates and maintaining project schedules
- Supporting onboarding activities for new project resources
- Managing project-related assets, equipment requests, and service desk escalations
- Coordinating project events, workshops, and team engagement activities
- Ensuring project documentation aligns with governance standards, methodologies, and PMO requirements

- You have experience supporting project managers and project teams within a structured project environment
- You have exposure to project financial administration, reporting, and budget tracking
- You have worked with project management tools such as MS Project, Jira, Planner, SharePoint, PPO, or similar platforms
- You have strong administrative, coordination, and organisational skills
- You communicate effectively and build positive relationships with stakeholders at different levels
- You are comfortable preparing reports, dashboards, meeting minutes, and project documentation
- You can manage multiple priorities and deadlines while maintaining a high level of accuracy
- You have strong attention to detail and a proactive approach to problem-solving
- You enjoy creating order, structure, and consistency within project environments
