About the position

Psybergate is an IT company that builds bespoke software solutions and provides highly skilled resources to its clients.
We are looking for a Project Coordinator to join our financial services client based in Sandton for a 12-months contract role.
 
We are seeking a highly organised and detail-oriented Project Coordinator to support the planning, scheduling, and execution of projects and programmes across the organisation. This role plays a key part in ensuring alignment between project deliverables, timelines, and financials. You will work across both Agile and Waterfall environments and collaborate closely with project managers, stakeholders, and vendors to maintain accurate schedules and reporting standards
What you will be doing: 

  • Assist in creating detailed work breakdown structures aligned with product backlogs or scope documentation.
  • Facilitate the development of project and programme schedules using Agile and Waterfall methodologies.
  • Work with stakeholders to define flight plans outlining key deliverables and milestones.
  • Evaluate and correct inconsistencies in project schedules based on internal standards and industry best practices.
  • Monitor critical paths and interdependencies within projects and programmes.
  • Report deviations from baseline plans and critical paths to relevant stakeholders.
  • Align schedules with approved financial business cases and ensure cost accuracy.
  • Maintain and govern project schedules; prepare exception reports as needed.
  • Establish and maintain project reporting routines to track and communicate progress.
  • Extract data from project tools and generate weekly planned vs. actual status updates.
  • Collaborate with project managers to assess progress and implement corrective actions.
  • Provide insights and recommendations based on trends and forecast analyses.
  • Assess the impact of scope changes on schedules and across programmes.
  • Identify and manage resource conflicts and capacity issues.
  • Facilitate scenario planning to assess schedule impacts upon request.
  • Integrate external vendor schedules into programme timelines where required.
  • Perform financial tracking, including burn rates, actual vs. forecast spend, and cost by resource role.
  • Monitor project spend against baseline budgets and alert relevant teams when deviations occur.
  • Track vendor contract expiry dates and ensure contracts are in place.
  • Manage SAP purchase orders and invoice payments via Ariba.
  • Set up Confluence pages and dashboards for Project Increment Planning.
  • Assist with JIRA SQL queries and logging of scope changes, risks, and issues in PMT.
  • Ensure enterprise resource allocations are accurate and aligned with capacity planning.
  • Align actuals and forecasts with monthly snapshot reporting.
  • Ensure project schedules accurately reflect scope and completion percentages in line with costs and timelines.
  • Use GT Finance and JIRA Tempo for cost tracking and reporting.
  • Coordinate with Tools Team to manage JIRA/Tempo licences and ensure boards are correctly configured.
  • Support user access and role assignments within JIRA

What we are looking for:

  • Completeded Degree or Diploma in the related fields
  • 3 - 5 years’ experience in project and programme coordination or scheduling.
  • Certified training in MS Project 2010 or later.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Project Management qualification.
  • Agile certification from a recognised institution.
  • Proficient in MS Project 2010 or higher with knowledge of scheduling methodologies.
  • Experience applying advanced scheduling techniques (e.g., critical path, PERT, earned value management).
  • Strong strategic planning skills and ability to manage multiple stakeholders.
  • Excellent verbal and written communication skills.
