About the position
Project Coordinator – Digital / E-Commerce | 12-Month Contract | Cape Town |Onsite |R35k–R45k p/m
We are looking for an organised, proactive and detail-oriented Project Coordinator to provide day-to-day coordination, tracking and administrative support to a major Composable Commerce Re-Platforming Programme.
Working closely with the Programme Manager, the Project Coordinator will provide the operational structure required to keep programme plans, milestones, dependencies, risks, actions, governance and reporting accurate and up to date.
This is a programme coordination and support role rather than a delivery-accountable Project Manager position. The successful candidate will not own squad delivery outcomes but will play a critical role in ensuring that the programme operates efficiently and that Programme, Product and Executive stakeholders have a clear and current view of progress, risks, dependencies and decisions.
Key Responsibilities
Programme Planning & Tracking
- Maintain the overall programme plan, milestone tracker and cross-squad dependency map.
- Track progress against agreed timelines and milestones.
- Identify potential slippage, scheduling conflicts and emerging dependencies and escalate these to the Programme Manager early.
- Support programme planning cycles by coordinating sessions, preparing pre-reads, consolidating stakeholder inputs and capturing agreed commitments.
- Maintain accurate programme status information across multiple workstreams.
RAID Management
- Own and maintain the programme RAID log – Risks, Assumptions, Issues and Dependencies.
- Capture new risks and issues and ensure appropriate owners and actions are assigned.
- Follow up with owners to ensure entries remain current.
- Apply sound judgement when assessing risks and issues, distinguishing between items requiring immediate escalation and those that can be managed through normal governance.
- Prepare RAID information for Steering Committee and Executive review.
Governance & Reporting
- Coordinate key programme governance forums, including:
- Steering Committees
- Architecture Reviews
- Cross-functional programme meetings
- Planning and delivery forums
- Prepare agendas, meeting packs and supporting documentation.
- Capture accurate minutes, decisions and action items.
- Maintain action logs and proactively follow up with owners through to closure.
- Support the Programme Manager in preparing programme status reports, presentations and executive updates.
Release & Delivery Coordination
- Coordinate release-readiness activities across release trains.
- Work closely with Delivery Managers and other programme stakeholders to track:
- Release scope
- Dependencies
- Required approvals
- Business and technical sign-offs
- Go/No-Go inputs
- Highlight outstanding items that could impact release readiness or programme timelines.
Financial & Vendor Administration
- Support programme budget and Capex tracking.
- Maintain accurate spend-to-plan reporting.
- Assist with tracking vendor-related costs, commitments and programme expenditure.
- Identify and flag budget variances to the Programme Manager.
- Support general vendor administration and coordination where required.
Documentation & Programme Administration
- Manage and maintain the programme's central document repository using tools such as Confluence and/or SharePoint.
- Ensure specifications, decisions, governance documentation and architecture artefacts are current, correctly versioned and easily accessible.
- Maintain clear programme records and documentation standards.
- Act as a first point of contact for cross-functional programme coordination queries.
- Triage requests and route them to the appropriate owner where Programme Manager involvement is not required.

Experience & Qualifications
Essential
- Relevant qualification in Project Management, Business, Information Technology or a related discipline.
- 2–4 years' experience in a Project Coordinator, Programme Coordinator, PMO Analyst, Project Administrator or Delivery Support role.
- Previous experience supporting complex projects or programmes involving multiple teams and stakeholders.
- Strong experience maintaining project/programme plans, milestone trackers, RAID logs, action logs and governance documentation.
- Experience preparing meeting packs, minutes, reports and presentations.
- Advanced Microsoft Excel and PowerPoint skills.
- Working familiarity with Agile, SAFe and traditional/Waterfall project delivery methodologies.
- Experience using collaboration and documentation tools such as Confluence and/or SharePoint.
- Strong stakeholder coordination and communication skills.
Highly Advantageous
- Previous experience within a digital, e-commerce, online retail or technology transformation programme.
- Exposure to large-scale e-commerce platform re-platforming or digital transformation initiatives.
- Understanding of Composable Commerce, APIs, microservices or modern digital commerce environments.
- Experience coordinating across multiple Agile squads or release trains.
- Experience supporting executive-level governance or Steering Committee reporting.
- Exposure to Capex, programme budget and vendor tracking.
