About the position
Purpose of the Role
Our client is seeking a highly organized and detail-oriented Procurement Officer to manage end-to-end procurement processes, ensuring efficient purchase requisitions, purchase order (PO) accuracy, supplier coordination, and inventory management. The role is critical in ensuring on-time supply to factories, optimizing procurement costs, and maintaining strong supplier relationships. This role works closely with category buyers and supply planners to align procurement activities with inventory needs, production schedules, and supplier capabilities. The successful candidate will support cost-effective sourcing, timely goods receipt (GRN) processing, and seamless procure-to-pay (P2P) execution.
Key Responsibilities:
Procurement & Purchase Order Management
- Process purchase requisitions (PRs) and purchase orders (POs) with accuracy and efficiency, ensuring alignment with supplier contracts and approved budgets.
- Maintain high PO accuracy, ensuring correct pricing, quantities, and delivery timelines.
- Work closely with category buyers to ensure procurement aligns with business needs and supplier agreements.
- Track PO approvals, modifications, and supplier confirmations to avoid procurement delays.
- Ensure on-time goods receipt (GRN) processing to support smooth invoicing and stock availability.
Supplier Coordination & Inventory Management:
- Collaborate with suppliers and logistics teams to ensure on-time deliveries, quality compliance, and inventory availability.
- Work with supply planners to align deliveries with factory production schedules and stock replenishment plans.
- Monitor supplier performance, delivery lead times, and contract adherence, proactively resolving any supply issues.
- Track inventory levels to ensure stock availability while minimizing excess and obsolete inventory.
Purchase-to-Payment (P2P) Process:
- Ensure seamless P2P operations, including invoice matching, payment approvals, and dispute resolution.
- Work closely with finance to verify invoices against POs and GRNs to prevent discrepancies.
- Enforce procurement governance, supplier compliance, and cost-control measures.
Cost & Process Optimization:
- Identify and implement cost-saving initiatives while maintaining stock availability and quality.
- Improve procurement workflows to enhance efficiency, accuracy, and supplier collaboration.
- Utilize ERP systems (SAP, Oracle) and advanced Excel tools to enhance procurement decision-making.
- Drive continuous improvement in PO accuracy, supplier coordination, and supply chain efficiency.
Qualifications & Experience:
- National Diploma in Supply Chain, Procurement, Business Management, or a related field. APICS, CIPS Qualifications, relevant degree would be an added advantage.
- 3+ years of experience in procurement, purchasing, or supply chain management, preferably in FMCG or manufacturing.
- Strong knowledge of purchase requisition & PO management, supplier coordination, and inventory planning.
- Experience in procure-to-pay (P2P) processes, GRN accuracy, and ERP systems (Syspro, Sage, SAP, IBP).
- Proficiency in advanced Excel (Pivots, Power Pivots, Power BI) and data analysis tools.
