Pharmacy Assistant
Department: Pharmacy

Reports to:
Production Pharmacist

 
Purpose of the Role
To support the pharmacist in the accurate dispensing, preparation, and distribution of medications while ensuring excellent customer service, compliance with legal and regulatory requirements, and maintaining stock control within the dispensary. The role also involves administrative duties, stock management, and ensuring the overall efficiency and safety of the dispensary.
 
Minimum Requirements

  • Completion of a Pharmacy Assistant course (B Post-Basic – as per regional regulatory requirements)
  • Registration with the relevant Pharmacy Council / Health Authority (where applicable)
  • Minimum 1–2 years’ experience in a pharmacy or dispensary setting
  • Knowledge of pharmaceutical products and basic medical terminology
  • Proficient in pharmacy software systems and Microsoft Office

 
Key Responsibilities


  • Dispensing & Medication Handling



  • Prepare and dispense ingredients accurately and efficiently.
  • Ensure correct dispensing process: weighing and dispensing of all ingredients of a formulation in a controlled environment to prevent cross-contamination.
  • The dispensing process is initiated after receiving a manufacturing order or dispensing order, which includes the list of all excipients and APIs to be added in a batch formulation.

 

  • Line Opening and Closing Procedures

 

  • Line Clearance: Ensure that the area and equipment are free from remnants of previous batches.

 

  • Line Opening: After the batch is completed, following the line clearance procedure to ensure that the area is ready for the next batch.

 

  • Line Closure: Ensure all batch recon is completed, and all unused material is return as per procedure.

 

  • Documentation: Proper documentation of the line clearance and opening procedures is essential to maintain compliance with GMP regulations.

 

  • Batch Releases: Conduct batch documentation review and release.

 

  • Creation and Implementation of QMS and SOP documents as per licenced requirements
  • Training: Personnel involved in these procedures must be trained and assessed to ensure they understand the necessary protocols.

 
 

  • Inventory & Stock Control



  • Receive, check, and store pharmaceutical stock and supplies.
  • Maintain stock levels by monitoring inventory, expiry dates, and reporting discrepancies.
  • Ensure proper rotation of stock (FEFO/FIFO) to minimize waste or loss.
  • Assist in preparing orders and returns with suppliers and pharmaceutical distributors.
  • Conduct regular stock counts and reconcile with system records.

 

  • Dispensary Operations



  • Operate dispensary equipment and pharmacy software systems efficiently.
  • Maintain cleanliness and organisation of the dispensary and work areas.
  • Ensure all scheduled medicine is stored securely and dispensed with required documentation.
  • Adhere to SOPs (Standard Operating Procedures) and safety protocols.
  • Assist with administrative tasks such as recordkeeping, invoicing, and claim processing.

 

  • Compliance & Quality Assurance



  • Adhere to Good Pharmacy Practice (GPP) and health regulations at all times.
  • Ensure all records and transactions comply with pharmacy law and ethical standards.
  • Support the pharmacist in audit preparation and compliance reporting.
  • Report any adverse drug reactions or errors to the pharmacist immediately.
