About the position
A PA to CEO handles a wide range of administrative and logistical tasks to support the CEO's daily activities, ensuring smooth operations and efficient workflow. This includes managing schedules, correspondence, travel arrangements, and various projects, while maintaining confidentiality and discretion.
Key Responsibilities:
Calendar and Meeting Management:
- Scheduling and coordinating meetings, appointments, and events, managing travel arrangements, and ensuring the CEO is prepared for all engagements.
Communication and Correspondence:
- Handling email, phone calls, and other forms of communication, drafting correspondence, and ensuring clear and concise communication with internal and external stakeholders.
Project Management and Coordination:
- Assisting with project planning, implementation, and execution, coordinating with various departments, and managing tasks related to the CEO's responsibilities.
Administrative Support:
- Maintaining records, documents, and files, preparing reports and presentations, and providing general administrative support to the CEO.
Confidentiality and Discretion:
- Handling sensitive information with utmost confidentiality, ensuring the privacy of the CEO and the organization.
Problem-Solving and Decision-Making:
- Proactively identifying and resolving issues, anticipating the CEO's needs, and offering solutions when necessary.
Research and Information Gathering:
- Conducting research, gathering information, and compiling data to support the CEO's decision-making.
Board and Governance Support:
- Assisting with Board meetings, preparing agendas, distributing materials, and taking minutes.
Special Projects:
- Managing ad-hoc projects and special assignments as needed, ensuring timely completion and efficient execution.
Minimum requirements:
- Matric Certificate (Grade 12) - Minimum requirement.
- Diploma or Degree in Office Administration, Business Administration, Executive Assistance, or related fields.
- 3-5 years in a senior administrative or executive assistant role.
- Proven ability to handle confidential information and work in high-pressure environments.
- Valid driver's license and own transport.
