About the position
We are seeking a highly organised, proactive, and confident Personal Assistant to support an executive in a dynamic and challenging environment.
This multifaceted role includes traditional PA duties, sales and marketing support, as well as involvement in farm operations.
The ideal candidate is hands-on, emotionally resilient, and able to work independently while maintaining professionalism at all times.
Minimum requirements:
- Minimum of 5 years’ experience as a Personal Assistant at executive level.
- Fluent in English with excellent verbal and written communication skills.
- Proficient in Microsoft Outlook and Sage/Pastel accounting systems.
- Must be comfortable with frequent travel (at least once a week to the farm).
- Non-smoker.

Duties and responsibilities:
- Personal Assistant Duties:
- Provide day-to-day administrative support to the business owner and management team.
- Manage calendars, schedule meetings, and coordinate appointments.
- Handle email and phone correspondence on behalf of the business.
- Maintain organised filing systems for documents, records, and reports.
- Prepare and proofread documents, reports, and communication material.
- Assist in travel planning and logistics where required.
- Maintain confidentiality and professionalism at all times.
- Sales and Marketing Support:
- Promote the farm’s hunting and accommodation services through targeted social media campaigns.
- Communicate with existing and prospective clients, sending annual reminders of the hunting season and availability.
- Prepare and send client quotations using Sage, and follow up on enquiries.
- Issue invoices and monitor client deposits and payments.
- Provide clients with necessary farm information, rules, and arrangements ahead of their visit.
- Coordinate with farm staff to ensure readiness for client arrivals.
- Attend to client groups on the farm as needed, particularly during busy hunting periods.
- Farm Operations and Management:
- Conduct animal counts and assist in livestock tracking.
- Oversee general farm functionality and ensure equipment and facilities are in working condition.
- Carry out vehicle inspections and arrange for servicing and maintenance.
- Compile order requests for farm supplies, equipment, and services; obtain approval and liaise with the finance department for payment.
- Monitor and reconcile petty cash expenses, ensuring all slips are accounted for.
- Assist with animal movement planning to support effective grazing and land use.
- Ensure the lodges are maintained and any maintenance issues are addressed promptly.
- Contribute to auction planning and coordination when applicable.
- Maintain ongoing communication with the farm management team, providing clear instructions and guidance on operational focus areas.
- Monitor electricity usage, perform Eskom meter readings, and report as required.
- Order feed, supplements, and supplies proactively to ensure timely availability.
