About the position

Main objective of this role: To gather and maintain information in the day to day running of the business to ensure that issues arising daily are managed and only escalated to the CEO that are impossible to resolve without her.

Duties & Responsibilities

Communication

  • Communicate with the executives they support, other members of the administrative team and external professionals when scheduling appointments and setting up meetings
  • Respond to correspondences on behalf of the CEO promptly.
  • Act as liaison between the MD and Management
  • Opening, sorting, and distributing correspondence, including email, faxes, and snail mail.
  • Prepare executive responses to routine memos, letters, or correspondence.

Coordination

  • Make arrangements to bring people from different departments or establishments together by defining itineraries, finding transportation and making accommodations.
  • Follow up with various department heads on reports and ensure that reports are submitted on time.
  • Arrange meetings as requested by the CEO

Support

  • Greeting visitors and determining access to appropriate parties.
  • Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
  • Answering and directing calls to appropriate executives and parties, taking messages.
  • Develop and utilize historical information; provide retrieval of information.
  • Record meeting discussions and provide minutes.

Administration

  • Reading and analysing submissions, letters, agendas, memos and determining significance; routing to appropriate personnel in a timely and efficient manner.
  • Prepare reports, collect, and analyse information; prepare presentations.
