About the position
ENVIRONMENT:
A manufacturing and distribution company is seeking an experienced and detail-oriented Payroll Administrator to take ownership of the full payroll function within a fast-paced and growing business. The successful candidate will be responsible for ensuring the accurate and timely processing of payroll, maintaining compliance with South African payroll legislation, and delivering exceptional payroll support to employees and management. This role is ideal for someone who thrives on accuracy, enjoys working independently, and can confidently manage payroll deadlines while maintaining the highest levels of confidentiality and professionalism. In addition to payroll, HR, and office administration responsibilities, the role requires regular communication and coordination with logistics suppliers and other external service providers to support the smooth operation of the business.
DUTIES:
Payroll Processing
- Process monthly payroll accurately and within set deadlines.
- Capture and maintain payroll inputs including salaries, overtime, allowances, deductions, benefits, and leave.
- Process casual employee wages and timesheets.
- Prepare payrolls for management review and approval.
- Investigate and resolve payroll-related queries and discrepancies.
Statutory Compliance
- Prepare and submit EMP201 returns and EMP501 reconciliations.
- Ensure compliance with South African payroll legislation, including BCEA requirements.
- Calculate and administer PAYE, UIF, SDL, and other statutory deductions accurately.
- Prepare and submit COIDA returns.
- Ensure payroll records and statutory reports reconcile correctly.
- Support Employment Equity (EE) and B-BBEE reporting requirements by providing accurate payroll data, reports, and workforce information as required.
Leave and Employee Administration
- Maintain accurate leave records and balances.
- Capture and process employee leave in accordance with company policies.
- Maintain employee payroll records, contracts, and supporting documentation.
- Update employee information accurately and timeously.
Payroll Reconciliations and Reporting
- Perform payroll reconciliations and resolve variances.
- Generate payroll reports as required by management.
- Provide payroll information to support budgeting, audits, Employment Equity, and B-BBEE reporting requirements.
Systems Management
- Utilise Sage Pastel Payroll effectively.
- Ensure payroll data integrity and confidentiality at all times.
- Identify opportunities to improve payroll processes and controls.
HR Administration
- Provide support with general HR administration and employee record management.
- Maintain employee files, contracts, and supporting documentation.
- Assist with Employment Equity (EE) and B-BBEE reporting requirements.
- Support onboarding, employee changes, and other HR-related administrative processes.
- Perform ad hoc HR administrative duties as required.
REQUIREMENTS:
Minimum Requirements
- Minimum 5 years' payroll administration experience.
- Proven experience processing payroll in a South African environment.
- Sound knowledge of:
- BCEA
- PAYE
- UIF
- SDL
- COIDA
- EMP201 and EMP501 submissions
- Experience using Sage Pastel Payroll is highly advantageous.
- Experience in using Eco time is highly advantageous
- Strong Microsoft Excel skills.
- Relevant payroll or finance qualification will be advantageous.
