About the position

A well-established company on the East Rand is looking for an Administrator / Personal Assistant / Receptionist to join their company!
Requirements:

  • 5 or more years' experience in a similar role
  • Matric or equivalent qualification 
  • Experience on Pastel is advantageous

Duties:

Office Administration:

  • Manage phone calls, screen, redirect and take messages for distribution
  • Handle procurement of office supplies and other company necessities, including grocery shopping
  • Maintain and distribute incoming and outgoing faxes, general notices and correspondence
  • Organize and distribute both incoming and outgoing mail
  • Maintain and update Material Data Sheets
  • Capture and manage Debtors and Creditors records and handle related communications

Marketing and Sales:

  • Submit applications to the DTI for participation in international trade fairs
  • Organize and coordinate logistics for both local and international trade shows, ensuring all company and staff requirements are met
  • Plan and execute mid-year customer public relations activities and gifts
  • Coordinate and plan company functions and events
  • Plan, organize and distribute Christmas
  • Distribute updated pricing structures
  • Provide secretarial support to the marketing department
  • Assist with tender documentation, including typing and distribution

Logistics:

  • Schedule and coordinate local collections, deliveries and rentals with subcontractors and couriers
  • Manage local and international sample deliveries
  • Maintain and track the sample register
  • Coordinate vehicle servicing, repairs, and license renewals
  • Organize and distribute staff uniforms
  • Schedule maintenance and servicing of company vehicles and forklifts

Personal Assistant (PA) Responsibilities:

  • Arrange local and international travel for two Directors
  • Schedule meetings and take minutes during internal staff meetings
  • Distribute staff notices and updates
  • Manage company cell phone contracts
  • Oversee maintenance and updates for the company website
  • Handle GRVs and DNs as needed
  • Submit and track insurance claims
