Outbound Specialist

About the position

A global leader within beverages and spirits  are looking for Outbound Specialist responsible for Management of all customer sales demand, ensuring timeous & accurate order placement & execution. Effective collaboration of key internal & external stakeholders including customers & Commercial, Logistics, Planning teams. Maintain a high level of customer satisfaction. KPI’s are tracked & managed including stock availability & service levels.


Order and Fulfilment Management

• Oversee the complete outbound order cycle for third party markets from order receipt to dispatch.
• Coordinate with supply planning to ensure product availability for external markets.
• Monitor outbound pick accuracy loading accuracy and dispatch timelines.
• Resolve order delays product shortages and documentation issues promptly.

Partner and Stakeholder Management

• Maintain strong relationships with distributors clearing agents freight forwarders and export partners.
• Communicate shipment schedules, service performance and potential risks clearly and timeously.
• Collaborate with finance sales logistics and supply chain teams to ensure alignment on market requirements.

Compliance and Documentation

• Ensure all export documentation is issued correctly including commercial invoices packing lists and certificates where required.
• Verify that shipments comply with international trade regulations, market specific rules and internal policies.
• Support internal and external audits through accurate document management.

Performance and Reporting

• Track and report service levels order cycle time outbound accuracy and compliance metrics.
• Analyse exceptions and propose corrective actions to improve efficiency. Maintain accurate records of shipments orders and partner performance.

Continuous Improvement

• Identify opportunities to enhance outbound processes reduce delays and improve cost efficiency.
• Support the implementation of better systems tools and procedures for third party market operations

Required Skills and Competencies

• Strong understanding of outbound logistics export procedures and international shipping.
• Excellent communication and relationship management skills.
• High attention to detail with strong administrative accuracy.
• Ability to manage pressure and resolve complex problems. Proficient in ERP systems (JD Edwards) and advanced Excel.
• Strong analytical and reporting capability. Proficiency in French and Swahili would be advantageous.

Qualifications and Experience

• Degree or diploma in supply chain logistics or related field.
• Three or more years’ experience in outbound logistics or export operations.
• Experience working with third party logistics providers and distributors.
• Knowledge of customs clearing and international trade regulations is preferred.
