About the position
The Operations Manager is responsible for the day-to-day operational management of an Asset to ensure a quality building, tenant satisfaction and a safe environment within an approved budget. This includes the coordination and oversight of contractors and Operations team to ensure efficiencies and compliance to Health and Safety regulations. The role incumbent is responsible for the Facilities maintenance function through a team of contractors and technicians. The role is concerned with the identification and implementation of ongoing efficiencies and new technologies in an innovative manner.
Financial Management
- Manages the up keeping and maintenance of Assets in line with an approved budget for area of responsibility and agreed authorisation levels.
- Performs the annual building inspection, analyses findings and submits report to Senior Facilities Manager for review and input into life cycle planning and preventative maintenance.
- Prepares the Operational budget considering results of the annual building inspection as well as quotations from the various suppliers and contractors.
- Prepares and presents the Capital Expenditure budget in order to expand the business efficiencies and profit.
- Prepares and presents technical budget to Management for input and review. Manages monthly budget control and variance reporting in respect of the expense budget. NOI growth as per company KPI.
Asset Maintenance and Management
- Implements planned, preventative and emergency maintenance actions to ensure a top class building and tenant satisfaction in collaboration with Property Management team.
- Manages all activities of contractors and Handymen to ensure tenant requirements are resolved timeously.
- Ensures all Statutory Compliance by tenants, handymen and contractors.
- Investigates and implements the innovative use of technology to achieve energy saving and overall efficiencies.
- Maintain all mechanical, electrical, structural and civil aspects of each asset within the official investment strategy of each asset.
- Management and monitoring of utilities such as water, electricity and gas to prevent loss of income and to correct.
Customer Service
- Acts on customer or tenant requests as escalated by Helpdesk administrator or Property Manager or other sources.
- Provides support to Property Management team by ensuring that customer requirements are resolved timeously.
- Maintain good relationships with all stakeholders both internal (property management) and external (tenants, service providers).
Admin and Reporting
- Provides monthly Operational report on Asset to Management.
- Performs annual building inspection and compiles report for analysis and decision-making purposes.
- Maintains records of legally and OHS required documentation (checklists).
- Keeps record of information required for the creation of Asset registers.
- Monitors outstanding purchase orders to ensure turnaround in line with specified policy timeframes.
- Adheres to policies and process in terms of Fault logging, Help Desk administration, emergency calls, emails, convening and attending of meetings.
Risk Management
- Ensures compliance with relevant Acts.
- Controls, manages and governs the processes and systems within area of accountability to ensure compliance and minimise the business risk.
- Implements all audit recommendations in area of accountability and resolve audit findings timeously.
- Designs, approves, implements and maintains policies within area of responsibility.
Requirements - Technical diploma (Mechanical or Electrical).
- Minimum of 5 years in a Facilities Management role.
- Experience with the implementation of Health and Safety regulations.
