Our client, a leading organisation within the truck dealership and logistics environment, is seeking a highly organised and detail-oriented In-House Operations Clerk to support the efficient dispatch and delivery of vehicle parts. The successful candidate will be responsible for accurately processing and dispatching parts, maintaining delivery and linehaul manifests, tracking shipments, managing documentation, and providing professional customer support in a fast-paced dealership environment.
Key Responsibilities
- Measure and weigh every part received from the dealership and accurately record dimensions on the relevant system.
- Scan deliveries onto delivery manifests and ensure Proof of Deliveries (PODs) are received and uploaded correctly.
- Scan waybills destined for cross-dock (XD) locations onto linehaul manifests.
- Ensure linehaul manifests are updated to the appropriate transit status once parts have been dispatched.
- Ensure all dispatched parts are accurately reflected on the relevant delivery or linehaul manifest.
- Keep response parts aside when communication is received and ensure they are correctly scanned and updated once delivered.
- Plan customer deliveries and communicate arrangements with relevant employees.
- Assist with loading parts when required.
- Ensure vehicle departure cut-off times are adhered to.
- Debrief customer deliveries, collections, and drivers and ensure the required mobile device processes are followed.
- Track deliveries and provide customers with updates when required.
- Assist customers and internal stakeholders with resolving delivery and parts-related queries.
- Maintain accurate records of parts orders, deliveries, collections, and returns.
- Ensure all relevant system updates are completed accurately and timeously.
- Verify warranty parts received against the dealership's load list and report any discrepancies immediately.
- Communicate vehicle arrival and departure times through the relevant communication channels.
- Report any incidents, accidents, damages, discrepancies, or operational issues immediately to management.
- Ensure all relevant Standard Operating Procedures (SOPs) are understood and adhered to.
- Ensure parts handling, dispatching, and delivery activities comply with safety requirements and company policies.
- Ensure required PPE is worn at all times while on dealership premises.
- Maintain accurate documentation and records in line with quality management requirements.
- Assist with continuous improvement initiatives and identify opportunities to improve service delivery and operational efficiency.
- Perform any other operational, administrative, or ad hoc duties as requested by management.
Minimum Requirements
- Matric (Grade 12).
- Valid Code 10 driver's licence is essential.
- Valid Professional Driving Permit (PDP) is essential.
- Minimum 1–2 years' experience in logistics, dispatch, warehousing, transport, parts, or operations administration.
- Experience within a truck, automotive, parts, dealership, logistics, or distribution environment will be advantageous.
- Previous experience dealing with dispatching, deliveries, waybills, manifests, PODs, and shipment tracking.
- Good computer literacy and experience working with logistics, warehouse, transport, or ERP systems.
- Experience with accurate data capturing and maintaining operational records.
- Good understanding of basic logistics and dispatch processes.
- Strong administrative and organisational skills.

- Ability to work under pressure in a fast-paced operational environment.

What We Are Looking For
We are looking for a reliable, organised, and detail-oriented In-House Operations Clerk with experience in logistics, dispatch, transport, parts, or a similar operational environment.
The ideal candidate must have a valid Code 10 driver's licence and PDP and be comfortable supporting delivery and collection activities in addition to the administrative and coordination requirements of the role.
The successful candidate must be able to manage dispatch documentation, waybills, manifests, PODs, shipment tracking, and customer queries while ensuring that deliveries and collections are coordinated efficiently and timeously.
