Introduction
Internal Advert - Operation Relations Coordinator - 6 Months FTC
The position of Operation Relations Coordinator is temporarily vacant. The Operation Relations Coordinator will report directly to the Manager: Operation Relations and forms part of the Administration and Transaction Services Division. The position is based at GEMS Head Office in Pretoria.
The total remuneration package will be R 48 017 per month, based on the Scheme's Remuneration Policy.

Duties & Responsibilities
The Operation Relations Coordinator will be required to support the Manager: Operation Relations through the implementation of the following Key Performance Areas (KPAs):
- Assist the Operations Relations Manager with ensuring that all Scheme operations are aligned to the Scheme's strategic plan and objectives.
- Assist in developing operational ATS Stakeholder Strategy and monitor implementation.
- Work together with the Administration and Transactions team to coordinate the development of the unit's stakeholder operational plan in line with the Scheme's strategic objectives.
- Review, monitor, analyse and evaluate the operations performed by members of GEMS Service Provider Network (SPN).
- Review weekly, monthly, and quarterly SPN reports.
- Support all operational reviews with accurate qualitative and quantitative analyses.
- Work together with the Operations Relations Manager to ensure SPN compliance with approved operational mandates, policies, and procedures as they relate to the ATS Stakeholder strategy.
- Effectively co-ordinate, record and manage queries and requests to and from the SPN and other Stakeholders.
- Support the Operations Relations Manager in employing appropriate business process management tools, such as process facilitations, gap analysis, process improvements, ensuring quality management, process implementation, process modelling and documentation in the ATS Stakeholder Management Strategy
- Participate in the Scheme's various operational forums.
- Oversee the implementation of operational risk mitigation strategies, based on the Scheme's risk assessments.
- Officiate the monthly service provider performance meetings.
- Identify and record operational non-performance and interventions.
- Work together with the Operations Relations Manager to ensure that all recorded interventions are implemented.
- Assist the Operations Relations Manager in chairing and coordinating the ATS Stakeholder Strategy and planning sessions.
- Consult with the Operations Relations Manager on contractual requirements and standards to ensure compliance.
- Work together with the Operations Relations Manager to effectively resolve member queries to and from the SPN and Department of Health in the implementation of the ATS Stakeholder strategy.
- Ensure optimal stakeholder participation in operational projects.
- Assist in developing contracting risks and implement contract management risk assessments and mitigation strategies.
- Assist in managing the overall performance of contracted Service Provider Networks as it relates to stakeholder engagements.
- Identify opportunities which will enhance existing programmes and initiatives and report back thereon.
- Report to Scheme and relevant stakeholders.
- Assist with the coordination of SLA compliance reports for various Scheme projects.
- Assist in the development of business process improvement, operational and risk management reports on trends, high impact issues.
- Ensure the alignment of all work to the scheme's mission, vision, and values.
- Work closely with GEMS Operations Relations Manager to assist in the contracts management environment.
- Assist in performing regular site visits to build and maintain healthy and sound relationships, and assist by coordinating visit schedules to Service Provider Networks' and provide regular feedback.
- Work with other Scheme divisions to provide support for the implementation of the stakeholder strategy
- Engage with the GEMS SPN regarding the interdependencies within the Scheme for stakeholder Management and support
- Closely monitor the actual to budgeted spend for stakeholder engagement and support requirements
- Facilitate and coordinate stakeholder engagement workshops
- Coordinate the preparations if quotations and the approval process for stakeholder workshops, gifts and other events
- Coordinate and manage the compliance reports for stakeholders.
- Coordinate the quarterly strategic, operational and risk management reports on trends, audit results and high impact issues
- Coordinate the implementation of improvement and process optimisation in the stakeholder management of the ATS functional areas.
- Update and maintenance of the stakeholder matrix for all relevant ATS stakeholders
- Ensure timeous communication to ATS stakeholders
- Conduct stakeholder satisfaction surveys and ensure corrective action is taken where required
Desired Experience & Qualification
Qualification Requirements:
- At least a 3-year Degree, National Diploma or NQF level 6 equivalent
- Computer literacy (MS Office)
- At least 2 years relevant work experience
- Possession of a valid driver's license (advantageous)
