About the position

Role Overview:
The Onboarding Admin Support is responsible for providing essential administrative and operational support to the onboarding team within an insurance and portfolio management environment. The role focuses on pre-sales workflows, compliance support, client onboarding administration, and pipeline management to ensure new business is processed accurately, efficiently, and in line with internal and regulatory requirements.

This position is well suited to a highly organised individual with strong attention to detail, who is comfortable working with systems, documentation, and compliance-driven processes.

Key Responsibilities:
Pre-Sales & Onboarding Administration:

  • Prepare and manage application packs for advisers following formal handover to the onboarding team, with a strong focus on portfolio management business.
  • Conduct pre-submission compliance checks in line with internal guidelines.
  • Identify and escalate any concerns or discrepancies to advisers and/or the compliance team prior to submission.

AML & Compliance Support:

  • Perform AML onboarding checks using Creditsafe and related systems.
  • Accurately document AML outcomes and raise any potential risks or concerns to the compliance team for review.

Document & Server Management:

  • Maintain accurate and compliant client file structures on internal server folders.
  • Ensure all documentation is correctly named, stored, and formatted according to company standards.
  • Manage document version control and ensure completeness of client records.

Client Documentation & Signatures:

  • Issue documentation to clients for electronic signature via DocuSign.
  • Track outstanding signatures and follow up where required to support timely completion of onboarding.

Pipeline & New Business Processing:

  • Manage and update the submitted pipeline spreadsheet, ensuring data accuracy and real-time tracking.
  • Process lump sum business submissions, including preparation and submission of new business applications to approved providers
  • Actively monitor and chase outstanding applications through to completion in line with company processes.
  • Update internal working documents, including Excel trackers and CRM systems, to reflect application status and progress.

CRM & Systems Administration:

  • Capture and maintain initial client and business data on internal systems (Wash), with future transition to Salesforce and MoneyInfo.
  • Ensure data integrity, accuracy, and completeness across all systems used.

Key Skills & Competencies:

  • Strong administrative and organisational skills
  • High attention to detail and accuracy
  • Ability to follow structured processes and compliance-driven workflows
  • Good written and verbal communication skills
  • Comfortable working with Excel, CRM systems, and document management tools
  • Ability to manage multiple tasks and deadlines simultaneously
  • Proactive approach to identifying issues and escalating appropriately

Experience & Qualifications:

  • Previous experience in an administrative, onboarding, financial services, insurance, or investment support role is advantageous
  • Exposure to AML, compliance checks, or regulated environments is beneficial
  • Strong systems literacy and willingness to learn new platforms

Salary: CHF 1,200 - 1,500 per month
(Approximately R24,500.00- R31,000.00 at current exchange rates)
Bonus: Discretionary annual bonus based on company performance and individual KPIs
(Salary is negotiable based on skills, experience and in relation to current package)
