About the position
Our client in the Sutainable Renewal Energy industry is seeking a Office Manager is responsible for ensuring the smooth day-to-day running of office resources and administrative support functions. This role plays a key part in maintaining operational efficiency by managing company assets, coordinating logistics, and supporting employees with essential resources and services.
With relevant or necessary experience.
Experience:
- Resource & Asset Management
- Manage company cellphone contracts, including procurement, upgrades, renewals, and cancellations
- Oversee the purchase and setup of new computers and related equipment for employees
- Procure office equipment such as desks, chairs and other furniture as required
- Maintain an inventory of related office assets and ensure proper allocation and tracking
- Office Supplies & Facilities
- Procure and manage office groceries, ensuring adequate stock levels at all times
- Monitor and replenish stationery supplies as needed
- Liaise with vendors to ensure timely delivery of supplies and cost-effective purchasing
- Support office rental and lease matters, including landlord liaison, building management interface, parking and access arrangements
- Provide general support on the office space, ensuring it is well-maintained, presentable and fit for purpose at all times
- Employee Onboarding
- Coordinate onboarding processes for new employees
- Prepare workstations, including IT equipment and necessary resources
- Ensure all onboarding materials and access requirements are ready prior to start date
- Administrative Support
- Perform general reception duties (answering incoming calls and receiving guests)
- Assist with general administrative tasks across departments as required
- Maintain organized records of purchases, contracts, and inventory
- Support internal processes and documentation
- Events & Travel Coordination
- Plan and coordinate company events, meetings and team activities
- Arrange travel logistics, including flights, accommodation and transport for employees
- Ensure travel plans align with company policies and budgets
- Host external visitors, including lenders, donors and board members. Set up boardrooms, arrange refreshments and catering for meetings, manage signage and access cards
- Manage travel-related compliance, including visa applications and renewals for staff, business invitation letters, yellow fever etc. for staff travelling to project countries, and travel insurance
- Any other matters
- Take ownership of any ad hoc tasks and operational matters that arise across the business and require hands-on coordination
- Identify gaps in office operations proactively and resolve them without needing to be asked
- Step in flexibly to support colleagues and management with whatever needs to be done to keep the office and the business running smoothly
