About the position
We are looking for a self-motivated and well-organized individual who is focused on producing high-quality, detailed work within a small team environment. This is a permanent position reporting to the General Manager.
The position is based in Elgin Valley, Cape Town.
REQUIREMENTS:
- Absolute minimum of 5 years' experience in managing an office.
- Contactable references.
- Tertiary degree or diploma in finance/ accounting/ bookkeeping or relevant work experience.
- Thorough knowledge of accounting procedures and principles.
- Experience with general ledger functions and the month-end closing process.
- Practical experience and use of accounting and payroll software (Sage Pastel and Sage Payroll).
- Knowledge of VAT, PAYE/UIF and experience in submitting returns to SARS.
- High level computer literacy (Excel, Word, Outlook).
- Exceptional verbal and written communication skills in English, and practical knowledge of Afrikaans.
- Be well presented, have exceptional attention to detail.
RESPONSIBILITIES:
- Managing the administration of a small/medium sized business.
- Managing client service, correspondence, and orders: issuing sales orders, invoices, delivery labels.
- Organizing deliveries and managing couriers.
- Sage Pastel bookkeeping; organizing accounts, the processing and capturing of sales and supplier invoices (managing debtor and creditor accounts, monthly statements, queries). Ensure all financial records are maintained in compliance with accepted policies and procedures and ensure the data quality of all administration records are maintained. Prepare for annual audits.
- Cash book processing and reconciliation of all bank accounts. Submission of weekly and monthly payments on online banking.
- Payroll: manage and process biweekly wages and monthly salaries.
- POS system management (Tall Order) and weekly reconciliation with Pastel
- Stock management: monthly physical stock take, preparation of monthly SAWIS and SARS Excise returns.
- Managing insurance matters. Submitting insurance claims and following up on claims.
- Preparation of monthly statutory returns; UIF/PAYE, EXCISE DUTIES, VAT RETURNS.
- Front desk duties: phone calls, check and sign off for deliveries, managing inbox; monitoring and responding to emails and general enquiries.
- Assist management with various ad hoc tasks.
