About the position
Main Job Purpose:
The Office Manager will oversee the daily operations of the Cape Town branch, ensuring smooth office
functioning. This role involves handling all calls, managing end-to-end support processes, overseeing
administrative tasks and liaising with support staff in Gauteng. The incumbent will also assist sales
managers with various tasks, submit all required documents to Finance for invoicing, and ensure
seamless office operations.
Minimum Desired Qualifications:
- Matric Senior Certificate
- Bachelor’s degree or diploma in business administration or a related field
Minimum Desired Experience
- Minimum of 3 years of experience in an office management role, preferably in an ICT company
- Knowledge of ICT hardware is advantageous
Minimum Desired Competencies
- Strong written and verbal communication skills
- Proficiency in Microsoft Office and general computer literacy
- Excellent time management and organisational skills
- Attention to detail and accuracy
- Ability to prioritise, organise, and follow up on tasks
- Deadline-driven and proactive
Reporting Structure
List of Responsibilities:
- Handling all incoming calls and directing queries appropriately.
- Managing office maintenance to ensure all equipment and supplies are functional and stocked.
- Organising and coordinating travel arrangements, including booking flights, hotels, and rental cars.
- Managing and coordinating meetings, including scheduling, preparing agendas, and taking minutes.
- Maintaining an efficient filing system for all documents and records.
- Coordinating office events and functions as required.
- Providing administrative support to the General Manager and Sales Managers.
- Liaising with support staff in Gauteng to ensure operational alignment.
- Submitting all required documents to Finance in Gauteng for invoicing.
- Managing office administration and ensuring compliance with company policies.
- Overseeing office supplies management – including ordering, tracking and restocking stationery, groceries, and consumables to ensure the office runs smoothly.
- Ensuring the office environment remains professional and presentable, including handling cleaning services, minor repairs, and facility-related matters.
- Acting as the first point of contact for visitors and ensuring they are assisted professionally.
- Managing courier services and deliveries to and from the Cape Town office.
