We are seeking a highly organized and detail-oriented Office Manager (Fluent Afrikaans Speaking) with a strong background in bookkeeping and travel coordination, ideally within the healthcare industry. The ideal candidate will be responsible for overseeing daily office operations, managing financial records, and ensuring efficient travel arrangements for staff and executives. This role plays a key part in supporting a smooth and compliant administrative environment in alignment with healthcare industry standards. The successful candidate will be responsible for the day-to-day running of the business, including office administration and support, staff welfare, diary and travel management, and organisational calendar support. The ideal candidate should be a self-starter with a positive, ebullient attitude and a strong work ethic, with excellent employee and stakeholder relationships.
Proficiency in Afrikaans essential
Key responsibilities:
? Ensures the smooth running of the office operations including strategic documents and facilities management
? Provide general secretarial / administrative as well as executive and personal support to the CEO and management in an effective and efficient manner
? Act as the first point of contact with people from both inside and outside the organisation
? Manage all arrangements related to travel, VISA and passport applications, booking accommodation and car hire, and processing claims for office administration expenses
? Office admin tasks including opening the office timeously every morning, answering telephones, meeting catering, assisting suppliers, customers and people who visit the office
? Receiving and dealing with telephone calls professionally, and using initiative to deal with queries
? Effective management of the office electronic diary and office facilities
? Written correspondence at a high level (emails, presentations, reports, memos, minutes, agendas etc
? Keep all documentation for tenders, bids, statutory requirements in order and ready for submission
? Ensure all administrative filling and documentation is stored correctly and chronologically, both physically and electronically
? Manage office support suppliers and any queries relating to their services including, IT support, welfare, couriers etc
? Monthly reconciliation of cash expenditure vs budget
