Key Responsibilities
- Client Communication: Serve as the primary point of contact for clients regarding the application process, addressing inquiries and providing updates.
- Quotation Management: Prepare and issue quotations to clients, updating them as needed to reflect changes or requirements.
- Contract Management: Ensure all client contracts are signed and properly documented.
- Audit Scheduling: Coordinate and schedule audit days between producers and auditors, ensuring efficient planning and communication.
- Audit Pack Monitoring:
- Ensure timely submission of auditor audit packs.
- Review audit packs for accuracy and completeness.
- Upload audit packs to SharePoint for record-keeping.
- Invoice Processing: Send quotations for invoice issuance and follow up on invoices and payments.
- Payment Follow-Up: Monitor and follow up with clients regarding outstanding payments to ensure timely collections.
- Documentation Management: Maintain and update internal auditor documentation, client records, and audit documentation to ensure compliance and accuracy.
- Travel Arrangements: Book accommodation and make travel arrangements for auditors and staff as required.
- Additional Duties: Perform any other tasks or responsibilities delegated by the Quality Assurance Manager to support departmental goals.
RequirementsQualifications and Skills
- Education: Bachelor’s degree in Business Administration, Quality Management, or a related field (preferred but not required).
- Experience: Minimum of 2 years of experience in quality assurance, client coordination, or a similar administrative role.
- Skills:
- Excellent communication and interpersonal skills for client and team interactions.
- Strong organizational and time-management abilities.
- Proficiency in Microsoft Office Suite and SharePoint.
- Attention to detail and ability to manage multiple tasks simultaneously.
- Knowledge of audit processes and documentation is an advantage.
