About the position
Introduction
The purpose of this role is to support the New Business Manager Special Projects in completing new site reports as required, coordinating development processes and maintaining strong relationships with key stakeholders. The role requires financial proficiency, administrative coordination.
Duties & Responsibilities
Coordination & Communication
Assist with New Business Manager Special Projects calendar (coordinate and schedule meetings).
Act as a contact for landlords, developers, and brokers when New Business Manager Special Projects is on the road.
Follow up with external partners to keep deals and projects moving.
Pipeline & Project Tracking
Maintain and update the Drive-thru schedule and gap analysis regularly.
Record progress on each site (prospect ? under review ? approved ? construction ? open).
Document Management
Prepare and organise Letters of Intent (LOIs), NDAs, lease summaries and site packs.
File and manage all Drive Thru documentation in shared folder.
Ensure all data, photos, and documentation are current and correctly filed.
Reporting
Compile a weekly summary report for New Business Manager Special Projects highlighting what's been actioned, pending,
or requiring attention.
Prepare a weekly pipeline report (Friday) showing current status of all potential sites.
Financial & Lease Admin
Track lease terms, renewal dates, etc as required.
Liaise with regions in respect of any approval documentation and payments as required.
Database Management
Keep a live database of all landlords, developers, brokers, and consultants, categorized by region.
Record notes and outcomes from meetings and site visits.
Demographic Research
The incumbent will be trained on GIS software so that they are equipped to assist with site packs.
