Introduction

JOB TITLE: New Business Administrator

JOB GRADE: BU

DEPARTMENT: Franchising

LOCATION: Offices are in Bloemfontein. Responsible for Free State and Northern Cape Regions.

PURPOSE STATEMENT:

The purpose of this role is to support the New Business Division in executing site investigations, coordinating development processes, and maintaining strong relationships with key stakeholders. The role requires financial proficiency, administrative coordination, and the ability to manage leasing and commercial processes to drive new business growth and expansion.

Duties & Responsibilities

  • Issue site investigation instructions to relevant New Business Managers and coordinate site visits.
  • Assist in maintaining and strengthening relationships with identified Developers, Landlords, internal departments, and Franchise Partners.
  • Track progress and maintain all related database information, including mapping and spreadsheet systems of the New Business Division.
  • Process initial franchise enquiries and applications.
  • Compile weekly and monthly reports.
  • Track and follow up on plan approvals sent to Landlords, internal departments, and Franchise Partners.
  • Assist in compiling presentations for brands, developers, and Franchise Partners.
  • Manage status reports, purchase orders, and requests to invoice.
  • Financial & Development Process Management: Act as a gatekeeper in controlling financial and development processes (Risk POs) in collaboration with the Debtors team, ensuring accurate tracking of joining fees and budgets.
  • Business Performance & Pipeline Tracking: Support New Business Managers in tracking performance against budgeted new business turnover, store openings, and pipeline progress.
  • GAP Analysis: Assist New Business Managers in tracking and closing development gaps by analyzing GAP vs PIPELINE vs closed opportunities.
  • Reporting and Performance Metrics:
  • Regular tracking and reporting of new business development performance.
  • Accurate maintenance of databases and financial tracking tools.
  • Effective collaboration and communication with internal and external stakeholders.
  • Timely execution of leasing and site investigation processes.

Desired Experience & Qualification

FORMAL EDUCATION:
  • Minimum Matric / Grade 12.
  • Relevant diploma/degree will be an advantage.

EXPERIENCE:
  • Minimum of 3 years of related experience in an administrative support function.
  • Preferred experience in the property/leasing sector.
  • Must be based in Free State, offices are in Bloemfontein.
  • Must understand and/or speak Afrikaans.

KNOWLEDGE AND SKILLS:
  • Computer Literacy - Proficiency in Microsoft Excel, Outlook, Word, and Access.
  • Familiarity with word processing and spreadsheet applications.
  • Financial Numeracy - Ability to interpret financial data and perform basic financial analysis.
  • Excellent Interpersonal Skills - Ability to build relationships with internal and external stakeholders.
  • Diplomatic Approach - Ability to handle negotiations and discussions with professionalism.
  • Strong Writing and Speaking Skills - Effective communication in both written and verbal formats.
  • Good Organizational Skills - Ability to manage multiple tasks and prioritize effectively.
  • Ability to Work Well Under Pressure - Maintain performance and focus in fast-paced environments.
  • Communication & Presentation: High-quality written, verbal, and presentation skills.

  • New Business & Leasing: Ability to baseline new business packs and rental working files for accurate and strategic decision-making.
  • Process & Stakeholder Management: Full understanding of the end-to-end development process and key stakeholder roles.
  • Administrative & Coordination Strengths: Proficient in using tools and templates to drive targeted results efficiently.
  • Leasing & Commercial Terms: Strong understanding of leasing agreements, commercial terms, rental ratios, and attention to detail.
  • Stakeholder Engagement: Excellent communication skills to interact with internal and external stakeholders, including landlords, brokers, agencies, and franchisees.
  • Site Development & Compliance: Ability to coordinate and collaborate with professionals on site development, traffic impact studies, and regulatory compliance.
  • Financial Acumen: Strong proficiency in financial tracking and analysis, including reading discounted cash flow (DCF) models, managing purchase orders (POs), payment processes, and controls.
  • Collaboration & Performance Tracking: Foster team collaboration, share updates, and perform effectively under pressure.
