About the position
Job Purpose
To provide professional administrative and secretarial support within a busy dermatology practice. The Medical Secretary will manage patient appointments, maintain accurate medical records, liaise with patients and medical aids, and ensure the smooth daily operation of the practice while delivering excellent patient service.
Minimum Requirements
- Matric / Grade 12
- Minimum 2–3 years’ experience in a medical practice or specialist environment
- Experience working with medical aid claims and billing systems
- Proficiency in Microsoft Office (Word, Outlook, Excel)
- Knowledge of medical terminology (preferably dermatology-related)
- Excellent communication and organisational skills
Key Responsibilities
Patient Administration
- Manage the appointment diary for the Dermatologist
- Welcome and assist patients in a professional and friendly manner
- Register new patients and maintain accurate patient records
- Handle patient enquiries via telephone, email, and in person
Medical Administration
- Capture and maintain patient medical information and documentation
- Prepare patient files for consultations and procedures
- Assist with correspondence such as referral letters and medical reports
- Maintain confidentiality of all patient information
Billing and Medical Aid Claims
- Process patient billing and payments
- Submit claims to medical aids and follow up on outstanding claims
- Provide patients with quotations and billing information when required
- Reconcile daily payments and assist with basic financial administration
Practice Coordination
- Ensure smooth daily operations of the practice
- Manage incoming and outgoing correspondence
- Coordinate bookings for procedures and follow-up appointments
- Maintain filing systems and general office organisation

Working Hours
Monday – Friday 8am - 5.30pm (Practice hours may vary depending on patient appointments).
