About the position
Role Outline:
The Junior Vehicle Specialist will provide operational and administrative support to the Fleet Manager, specifically focusing on the company Cape Town fleet. This role ensures the company owned vehicles remain compliant, mechanically and cosmetically up to standard, and effectively managed within the fleet pool.
This role is a support role to the Fleet Manager and not a decision-making or management-level post.
Key Responsibilities:
- Coordinate day-to-day fleet operations for the Cape Town region.
- Track vehicle status, usage, and availability; escalate discrepancies and updates to the Fleet Manager.
- Assist with compliance management, including items related to licensing, registrations, insurance, and renewals and act as a liaison for the Compliance Officer.
- Support with scheduling and tracking of servicing, repairs, and regular maintenance.
- Liaise with service providers for maintenance, repairs, and vehicle readiness.
- Conduct and coordinate on site and in-office vehicle inspections and fleet audits.
- Assist in driver/vehicle allocations, vehicle handover procedure and tracking vehicle swaps in coordination with the Driver Department.
- Maintain various fleet tracking sheets and documentation, ensuring accuracy and completeness.
- Monitor fleet performance, including maintenance schedules, vehicle downtime and driver usage.
- Support with implementation of fleet policies and procedures.
- Support fleet scaling and de-fleeting processes.
- Provide regular fleet status reports for the Fleet Manager and highlight any risks or issues.
Candidate Profile
Education & Qualifications:
- Matric certificate (essential).
- Further studies/certifications in Fleet Management, Logistics, or Operations (advantageous).
Experience:
- 1-2 years experience in fleet management/operations, transport, or logistics (preferred).
- Administrative experience in an operational support environment.
Skills & Competencies:
- Strong organizational and record-keeping abilities.
- Proficient in Google Suite (especially Google Sheets).
- Basic understanding of vehicle maintenance and compliance processes related to the environment such as licensing.
- Fleet management of at least 30 vehicles.
- Basic understanding of the mechanical nature of vehicles.
- Good communication and coordination skills.
- Ability to work independently with direction from the Fleet Manager.
- Valid driver's license and the ability to identify mechanical issues.
