About the position
Our client is seeking an organised and driven AI Programme Coordinator to support the AI Programme Lead in coordinating, tracking, governing, and scaling Artificial Intelligence initiatives across the business. The successful candidate will act as the operational backbone of the AI Programme, ensuring governance compliance, stakeholder alignment, programme visibility, and effective delivery tracking across multiple AI workstreams.
Key Responsibilities
Programme Planning & Coordination
- Maintain integrated AI programme plans and roadmaps.
- Track milestones, deliverables, and dependencies across AI workstreams.
- Follow up on outstanding actions, risks, and key decisions.
- Coordinate programme meetings, workshops, and stakeholder sessions.
- Ensure programme activities remain aligned with strategic objectives.
Governance & Reporting
- Prepare governance packs, reports, and presentation materials.
- Track decisions and actions from Steering Committees and Governance Boards.
- Produce weekly, monthly, and executive-level programme reports.
- Support the preparation of ExCo and Board-level updates.
- Ensure governance standards and reporting requirements are met.
AI Use Case Management
- Maintain a central inventory of AI initiatives and use cases.
- Track delivery progress, milestones, and implementation status.
- Monitor business and delivery owner accountability.
- Support the collection and reporting of value-realisation metrics.
- Ensure programme data remains accurate and up to date.
AI Transformation & Adoption Support
- Coordinate AI rollout activities across multiple teams and squads.
- Monitor adoption and implementation metrics.
- Maintain programme dashboards and reporting tools.
- Track training completion, participation, and capability development.
- Support execution and performance tracking across AI initiatives.
Stakeholder Management
- Engage with Technology, Architecture, Data, Security, HR, and Business stakeholders.
- Coordinate programme communications and stakeholder engagement activities.
- Schedule governance forums, workshops, and working sessions.
- Drive action follow-ups and escalation management.
Reporting & Analytics
- Develop and maintain executive dashboards.
- Produce concise, executive-ready status reports.
- Track programme KPIs and success measures.
- Support adoption, capability, and value-realisation reporting.
- Provide insights to support informed decision-making.
Communications & Change Enablement
- Draft and distribute programme communications.
- Support awareness and change-management campaigns.
- Coordinate leadership briefings and stakeholder updates.
- Maintain programme documentation and knowledge repositories.
Requirements
Experience
- 2-5 years of Project Coordination or Programme Management experience.
- Experience working within Agile and/or SAFe environments.
- Exposure to technology, digital transformation, AI, or innovation programmes.
- Experience supporting governance, reporting, and stakeholder management activities.
Key Skills
- Strong organisational and coordination abilities.
- Advanced Microsoft PowerPoint and Excel skills.
- Reporting, dashboard creation, and data analysis experience.
- Excellent communication and presentation skills.
- Strong stakeholder engagement and relationship management skills.
- Meeting facilitation and action-tracking experience.
- Understanding of AI, emerging technologies, or digital transformation initiatives.
Qualifications & Certifications
- Relevant qualification in Project Management, Business, Information Technology, or a related field.
- Certifications advantageous:
- Certified ScrumMaster (CSM)
- SAFe Practitioner
- PRINCE2 Foundation
- PMP Foundation
- Microsoft Copilot or AI-related Certifications
