Job Summary
We are seeking a highly organised and detail-oriented Junior Tender Administrator to join our administrative team. This entry-level role is crucial in supporting the successful processing, submission, and tracking of bids and tenders, ensuring full compliance with all requirements and deadlines.
Key Responsibilities
The Junior Tender Administrator will be responsible for, but not limited to:
- Tender Identification and Registration: Monitoring relevant portals (e.g., e-Tender Publication Portal, CSD) to identify applicable tender opportunities and accurately registering them in the internal tracking system.
- Documentation Support: Assisting the senior team in compiling and formatting necessary tender documentation, including pricing schedules, compliance forms, and technical specifications.
- Compliance Checks: Ensuring all statutory and supportive documentation (e.g., tax clearance, BEE certificates, regulatory compliance) is current, valid, and correctly attached to the submission.
- Administrative Management: Maintaining an organised and current electronic and physical library of all tender documents, proposals, and outcome records.
- Submission Logistics: Coordinating the physical or electronic submission of completed tenders, ensuring strict adherence to all stated deadlines and submission procedures.
- Follow-up: Tracking the status of submitted tenders and assisting with requests for additional information (RFIs) from the procuring entity.
- General Administration: Providing general clerical and administrative support to the sales and management team as required.
Requirements and Qualifications
- A relevant Certificate or Diploma in Business Administration, Office Management, or a related field is an advantage.
- 0-1 year of experience in a formal office environment; prior exposure to procurement or tender processes is beneficial.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Exceptional attention to detail and a high degree of accuracy is mandatory.
- Proven ability to meet strict deadlines and manage multiple tasks simultaneously.
- Excellent written and verbal communication skills.
- Must be legally entitled to work in South Africa.
