About the position
A leading manufacturer specialising in plastic packaging requires a Junior Project Administrator to be responsible for managing project documentation, liaising with suppliers, and tracking project progress to ensure timely delivery of customer orders.
Minimum requirements for the role:
- A certificate in project management or similar qualification is preferred for this role.
- Previous experience having worked within a projects administration role or related role ideally working within an engineering or related environment is preferred for the role but is not essential.
- Computer literacy is essential with intermediate Excel experience working on MS Office and MS Projects.
- Must have excellent attention to detail.
- Must have good verbal communications skills, problem solving skills, time management skills and planning and organizing skills.
- Working knowledge of Microsoft Projects for tracking and scheduling projects is preferred.
- The successful candidate must have strong communication and negotiation skills when liaising with suppliers and internal teams.
The successful candidate will be responsible for:
- Managing project documentation, liaising with suppliers, and tracking project progress to ensure timely delivery of customer orders.
- Working closely with the senior manager to ensure that all projects are administrated and coordinated within budget and on time.
- Requesting quotes and issuing approved purchase orders to suppliers as well as expediting orders.
- Receiving and reviewing AutoCAD drawings from the sales manager detailing customer requirements.
- Ensuring all project documentation, including drawings, is accurately filed and organized for easy access.
- Sourcing and communicating with suppliers to obtain the necessary materials and components required for production.
- Obtaining and negotiating pricing, lead times, and availability of materials with suppliers.
- Monitoring supplier timelines and ensuring adherence to agreed delivery schedules.
- Using Microsoft Projects to track and update project timelines.
- Collaborating with internal teams, including procurement and production, to ensure smooth workflow and order fulfilment.
- Identifying potential project delays and proactively addressing issues to maintain timelines.
- Communicating supplier information to the procurement team for purchase order processing.
- Supporting procurement in gathering relevant documentation for material sourcing.
