About the position

The Payroll Administrator will be responsible for the accurate and timely processing of payroll while ensuring compliance with relevant labour legislation and internal policies. This role is ideal for someone detail-oriented with strong organisational skills and a working knowledge of South African payroll practices.

Job Purpose:

To assist in the monthly payroll processing for all staff, including maintaining employee records, handling statutory submissions, and supporting payroll audits. The ideal candidate will have experience in a similar environment and a sound understanding of payroll principles.

Key Responsibilities:

  • Process monthly payroll for permanent and temporary staff
  • Capture new hires, employee changes, and terminations on the payroll system
  • Maintain employee records (salaries, deductions, bonuses, etc.)
  • Manage calculations for leave balances, overtime, and deductions
  • Generate and distribute payslips
  • Ensure accurate timekeeping and attendance data is captured
  • Assist with EMP201 submissions (PAYE, UIF, SDL) and liaise with SARS
  • Reconcile payroll accounts and assist with related reporting
  • Respond to employee payroll queries with professionalism and discretion
  • Support payroll audits and provide documentation as needed
  • Maintain strict confidentiality of payroll and employee information

Minimum Requirements:

Qualifications:

  • Matric (required)
  • Certificate/Diploma in Payroll, HR, or related field (advantageous)

Experience:

  • 1-2 years' experience in payroll or HR administration
  • Experience in a legal, financial, or professional services environment (preferred)

Systems & Software:

  • Proficient in MS Excel
  • Experience using payroll systems (e.g., Sage Payroll, VIP)

Skills & Competencies:

  • Solid understanding of payroll principles and SA labour legislation
  • High attention to detail and numerical accuracy
  • Strong data entry and reconciliation skills
  • Ability to maintain confidentiality and handle sensitive information
  • Clear communication and interpersonal skills
  • Strong organisational abilities and deadline management
  • Team-oriented with a proactive and professional work ethic

Advantageous:

  • Familiarity with payroll practices in a legal firm
  • Understanding of SARS processes and statutory submissions
