About the position

The main purpose of the job:
We are seeking a highly organized and detail-oriented individual to join our team as a General Administrator. The successful candidate will play a crucial role in supporting the smooth functioning of our organization by handling various administrative tasks and ensuring efficient day-to-day operations. The ideal candidate will be a proactive problem-solver with excellent communication skills and the ability to multitask effectively

Key responsibilities:

Office Management:

  • Maintain a tidy and organized office environment.

Administrative Support:

  • Assist in scheduling and coordinating meetings, conferences, and appointments.
  • Prepare and distribute internal and external communications, such as memos, emails, and reports.

Data Entry and Record Keeping:

  • Accurately enter data into databases and maintain updated records.
  • Create and manage electronic and hard copy filing systems.
  • Assist in the preparation of regular reports.

Communication:

  • Serve as a point of contact for internal and external stakeholders.
  • Answer and direct phone calls and emails to appropriate parties.
  • Ensure effective communication within the team and across departments.

Project Support:

  • Provide administrative support for various projects.
  • Assist in coordinating project timelines and deliverables.
  • Core function: to create as -builds and closing documents from site.
    day to day consists of creating monthly, quarterly, semi-annual and annual AS build documents with the app acrobat pro( take pictures from the groups and compile them in a folder then to organize the pictures to match the numbers on the tick sheets, change the time on the pictures detail not water mark to arrange them in better order, report any missing pictures, a lack of pictures and see if the pictures taken match the number and is clear and not blurry). scan in completed and signed routine maintenance documents to Maintenance Manager.

Knowledge:

  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Proven experience as an administrator, office assistant, or in a similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Effective communication skills, both verbal and written.
  • Ability to handle confidential information with discretion.
  • Proactive problem-solving skills and ability to work independently.

Preferred Skills:

  • Experience with office management software and tools.
  • Knowledge of basic accounting principles.
  • Familiarity with project management concepts.
  • Previous experience in a similar industry or field.

Working Conditions:

  • Full-time position with standard office hours.
  • Occasional overtime may be required during peak periods.
