About the position
Key Responsibilities
- Document Control
- Maintain and manage controlled documents (policies, procedures, work instructions, forms, and records) in line with ISO 9001QMS requirements.
- Ensure version control and accessibility of current documentation across the organization.
- Support departments in drafting, reviewing, and updating documents as needed.
- Compliance & Process Evaluation
- Monitor business processes to ensure compliance with internal policies, ISO standards, and statutory requirements.
- Identify areas of non-compliance or process inefficiencies and recommend corrective/preventive measures via the NCR process.
- Support continuous improvement initiatives across departments.
- Internal Audits
- Plan, schedule, and conduct internal audits in line with ISO [Phone Number Removed]; auditing guidelines and ISO 9001:2015 requirements.
- Prepare audit reports, track corrective actions via the NCR process, and verify implementation.
- Provide feedback and recommendations to management based on audit findings.
- Data Capturing, Reporting & Analysis
- Capture compliance and audit-related data into relevant systems. This includes but is not limited to:
- Capturing and maintaining accurate records of received data
- Generating reports based on the data
- Identifying trends that may impact Calgan's quality
- Managing office equipment
- Organizing and maintaining filing systems via daily Filing and General admin
- Ensuring data integrity
- Performing general administrative task
- Analyze data to identify compliance risks, trends, and improvement opportunities.
- Prepare compliance dashboards, metrics, and reports for management review.
- General Compliance Support
- Assist in ensuring the business complies with all relevant South African regulations (e.g., Occupational Health and Safety Act 85 of 1993, Quality requirements, and industry standards).
- Provide support during external audits, inspections, and certification processes.
- Conduct awareness sessions or training related to compliance and document control when required.
Qualifications & Experience
Minimum Requirements:
- Grade 12 / Matric.
- National Diploma or Degree in Quality Management, Compliance, SHEQ, or related field (preferred).
- ISO 9001:2015, ISO 45001, or ISO 14001 training advantageous.
- Internal Auditor certification (ISO 19011) preferred.
Experience:
- 2-3 years' experience in a compliance, quality, or audit role (preferably in a manufacturing or industrial environment).
- Hands-on experience with document control systems and compliance management tools.
- Strong knowledge of South African compliance legislation (OHS Act, Environmental regulations) preferred.
- Experience conducting audits and preparing audit reports.
