About the position
ENVIRONMENT:
EFFECTIVELY manage the daily administration of the HEAT Dashboard as the next HVAC Service & Procurement Coordinator wanted by a leading Equipment Manufacturer for the HVAC division of its Joburg branch. You will ensure service requests are coordinated efficiently, and customer service levels are maintained while providing procurement and administrative support to the Supply Chain Department through purchasing activities, supplier follow-up and general procurement administration. Applicants will require Grade 12/Matric, 2-5 years' work experience in Procurement, Administration or Service Coordination including 2 years’ experience in the HVAC industry or a technical service environment & have proficiency with Microsoft Office (Word & Excel).
DUTIES:
HEAT Dashboard & Service Coordination (70%) –
· Manage the daily operation of the HEAT Dashboard for the HVAC & P&D Department.
· Ensure all incoming service requests are monitored, allocated and progressed timeously.
· Liaise with Technicians regarding parts availability, work progress and outstanding service calls.
· Maintain regular communication with customers and internal departments regarding job status.
· Escalate service-related issues where required.
· Ensure accurate updating and administration of the HEAT system.
· Produce service-related reports and assist in driving continuous improvement in customer service delivery.
Procurement Support (30%) –
· Raise purchase orders for local suppliers.
· Obtain quotations and follow up on outstanding supplier deliveries.
· Update supplier pricing and lead times within the ERP system.
· Maintain purchasing documentation and assist with procurement administration.
· Support inventory replenishment activities and assist Procurement Buyers with purchasing functions as required.
· Provide general Supply Chain support during periods of high workload.
REQUIREMENTS:
· Grade 12 / Matric.
· 2–5 Years' experience in Procurement, Administration or Service Coordination.
· Minimum 2 years' experience in the HVAC industry or a technical service environment.
· Sound knowledge of Microsoft Office (Word & Excel).
· Excellent organisational and time management skills.
· Strong customer service orientation.
· Excellent verbal and written communication skills.
· High attention to detail and accuracy.
· Ability to prioritise tasks and work under pressure.
· Ability to multitask and meet deadlines.
Advantageous –
· Supply Chain, Procurement or Business qualification.
· Experience working on ERP systems (Odoo advantageous).
· Experience using HEAT or similar Service Management software.
